Job Description

Position Summary

The Executive Recruiting Project Coordinator plays a critical role in enabling efficient, high-quality delivery of executive search initiatives across the Global Executive Search team. This role provides end-to-end coordination and project support across candidate management, interview logistics, reporting, and search operations—ensuring a seamless, white-glove experience for candidates, recruiters, and senior stakeholders.

Key Responsibilities

• Coordinate complex, multi-stage interview logistics for VP and above candidates across global stakeholders and time zones.

• Manage candidate scheduling, communications, and interview preparation to ensure a high-touch candidate experience.

• Partner with Executive Recruiters, HRBPs, and Hiring Managers throughout the search lifecycle.

• Maintain candidate tracking systems and ensure data accuracy.

• Assist with offer coordination and onboarding logistics.

• Maintain dashboards, reports, and search trackers.

• Support vendor coordination and invoice management.

• Ensure compliance with recruiting policies and processes.

Qualifications

• 3–5 years of experience in recruiting coordination, executive search, or HR operations.

• Strong organizational and project management skills.

• Experience scheduling complex interviews across stakeholders and time zones.

• High attention to detail and confidentiality.
