A large, established nationwide organization is seeking a Licensing Administrator to join its legal and compliance team. This is an excellent opportunity to join a growing organization, gain valuable multi-state licensing experience, and potentially transition into a permanent role.


Job Description:


The Licensing Administrator will oversee licensing and regulatory requirements for a large network of locations across multiple states. This individual will manage new licenses, renewals, compliance documentation, and ongoing communication with state and local agencies. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple licensing processes at various stages simultaneously.


Key Responsibilities:

• Manage licensing requirements for approximately 100 locations across 20 states.
• Coordinate new license applications, renewals, amendments, and ongoing maintenance.
• Research state and local regulations to determine licensing requirements for individual locations.
• Communicate regularly with state agencies, DMVs, municipalities, and other regulatory organizations.
• Partner with individual locations to gather required documentation and information for licensing.
• Monitor expiration dates and proactively initiate renewal processes.
• Maintain accurate licensing records, documentation, and status updates within shared systems.
• Support various licensing needs, including dealership, business, HVAC, plumbing, and other regulated services.
• Assist with licensing requirements related to new locations, acquisitions, and business changes.
• Research regulatory requirements and translate them into clear guidelines for internal teams.
• Assist with compliance notices, citations, and other regulatory correspondence.
• Coordinate with legal, operations, construction, risk, and other internal departments as needed.
• Prepare reports and provide administrative support to the legal team.
• Manage and organize legal and licensing documentation within shared drives.

Qualifications:

• 1-2+ years of experience working with multi-location legal, regulatory, or licensing processes.
• Real estate legal experience is required.
• Experience working with state or local government agencies preferred.
• Strong understanding of licensing, compliance, and regulatory processes.
• Bachelor's degree preferred.
• Intermediate Microsoft Excel and Microsoft Word skills.
• Strong organizational skills and exceptional attention to detail.
• Ability to independently manage multiple priorities and deadlines.
