Nursing Operations Supervisor, Critical Care

Position Summary Operations Supervisor supervises, coordinates and monitors administrative and financial operations for the assigned department(s). Directly supervises professional and clerical staff and serves as the administrative liaison for the assigned department(s). Commits to providing the highest quality of service in an ambulatory or hospital‑based setting. Position Operations Supervisor Department Critical Care Schedule Full Time Essential Responsibilities / Duties Ensure the department runs smoothly, efficiently, and professionally on a daily basis. Assist with new‑hire orientation, training, supervising, and assigning tasks to staff. Manage workflow and monitor quality of work to ensure efficient operation and timely completion of assignments. Coordinate and maintain the monthly schedule; track and collect employees' hours; review hours against scheduled time and track leave/vacation/sick time. Submit weekly timesheets to the manager/director and, if absent, to the Payroll Department. Monitor performance of unit coordinators, ensure compliance with departmental procedures, and complete annual performance appraisals. Serve as first point of contact for benefit and payroll questions for all department employees. Work with managers and staff to resolve employee relations issues, using appropriate BMC resources. Schedule meetings and coordinate audio‑visual, technology, and catering requirements as needed. Analyze, categorize, and prioritize correspondence; respond on behalf of the Manager and exercise independent judgment in determining appropriate actions. Collaborate with department educators to create orientation schedules for new staff and schedule all mandatory trainings. Maintain departmental files, manuals, and records; provide backup support for other administrative staff during breaks and time off. Assist with project management and follow‑through; participate in quality improvement teams as required. Handle confidential information regarding professional and patient issues—including correspondence, test results, billing data—with discretion. Create reports, spreadsheets, presentations, and other correspondence as requested. Plan, organize, and coordinate departmental receptions, meetings, or functions, obtaining assistance as necessary. Handle telephone calls for the department using a professional and courteous manner. Work with unit coordinators to monitor inventory of office supplies and equipment; purchase as needed within the established budget. Maintain office equipment in working order; contact vendors or IT for repairs or replacements as necessary. Maintain open communication lines with other departments and act as liaison with internal and external customers. Provide recommendations to improve administrative office systems, enhancing productivity and cost effectiveness. Meet hospital‑wide standards in performance, conduct, patient rights, cultural beliefs, and infection control and safety procedures. Perform other related duties as needed. Hospital Standards Conform to hospital standards of performance and conduct, including patient rights, to provide the best possible customer service and patient care. Utilize hospital cultural beliefs as the basis for decision making and to support the hospital's mission and goals. Follow established hospital infection control and safety procedures. Job Requirements Education Bachelor's degree or equivalent combination of education and experience. Experience At least three years of experience in a similar office setting; previous supervisory experience strongly preferred. Knowledge and Skills Strong organizational, interpersonal, and communication skills. Leadership ability to guide, direct, and mentor staff. Professional communication in a highly professional manner. Strong computer proficiency with Microsoft Office applications—Word, Access, Excel, PowerPoint; E‑mail; Web/Internet; and willingness to become proficient in other applications including Kronos and Workday. Flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as with outside clients and vendors. Compensation Range $56,000.00 – $78,500.00 This range offers an estimate based on the minimum job qualifications. The approach to determining base pay is comprehensive and considers education, experience, skills, certifications/licensures, business/organizational needs, internal equity, and market competitiveness.
