Job Summary:

As a Bilingual Receptionist at Phoenix Labor Group, you will provide essential front-office support in a fast-paced, industrial environment. Your primary responsibility will be to welcome and assist visitors, handle incoming calls, and ensure smooth communication between our diverse team and clients, both in English and Spanish. You will play a key role in maintaining an organized and efficient office while providing excellent service to our internal teams and external stakeholders.

Key Responsibilities:

• Greet and direct visitors, contractors, and vendors in a professional, courteous manner, ensuring a safe and efficient check-in process.

• Answer, screen, and route incoming phone calls in both English and Spanish, providing clear and accurate information to callers.

• Respond to client inquiries and provide information about company services, ensuring effective communication in both languages.

• Schedule and confirm appointments, meetings, and conferences for staff and clients.

• Handle administrative tasks, including filing, data entry, and maintaining project documentation and records.

• Handle sensitive and confidential information with discretion.

• Support the human resources department.

• Perform other duties as required by management.

Qualifications:

• Fluency in English and Spanish (both written and spoken) is required.

• Minimum of 2 years of experience as a receptionist, office assistant, or similar administrative role.

• Strong communication skills and the ability to interact professionally with a diverse group of people, including visitors, clients, contractors, and team members.

• Ability to work in a fast-paced, high-demand environment with a strong focus on safety, efficiency, and customer service.

• Proficiency with office software (Microsoft Office Suite, Google Workspace, etc.) and office phone systems.

• Proficiency with office equipment, including installing, maintaining, and basic troubleshooting.

• Proficiency with iPad, mobile devices, and work apps.

• Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively.

• Ability to manage sensitive and confidential information with discretion.

Preferred Qualifications:

• Previous experience working in shipbuilding, manufacturing, or heavy industry environments.

• Experience working in a multicultural or bilingual environment.

• Knowledge of office management procedures and basic bookkeeping is a plus.

• Familiarity with managing logistical documents, safety certifications, or compliance paperwork.

• Experience with project coordination or supporting operational teams is a plus.
