The Project Coordinator is the logistical backbone of our construction projects. In this role, you will work closely with Project Managers, Project Supervisors, and Subcontractors to keep projects on schedule and within budget. You will manage crucial documentation, track project milestones, and ensure seamless communication between the field and the office. Key Responsibilities
- Material Takeoffs & Procurement: Review blueprints and project specifications to perform accurate material takeoffs, request quotes from vendors, and place orders to ensure materials arrive on site on time and within budget.
- Documentation Management: Process, track, and distribute critical project documents including RFIs (Requests for Information), Submittals, Change Orders, and meeting minutes.
- Schedule Tracking: Assist the Project Manager in maintaining and updating project schedules, tracking material deliveries, and monitoring subcontractor progress.
- Permitting & Compliance: Coordinate the acquisition of local permits, utility clearances, and ensure all subcontractors have up-to-date insurance certificates (COIs) before arriving on site.
- Financial Assistance: Help track project expenses, review subcontractor invoices for accuracy, and assist with the monthly billing/draw process.
- Closeout Coordination: Manage the project closeout process, including compiling O&M (Operations & Maintenance) manuals, warranties, punch lists, and as-built drawings.
Qualifications & Skills
- Experience: 1–3 years of experience in a coordinator or administrative role within the construction, engineering, or architectural industries.
- Education: Associate’s or Bachelor’s degree in Construction Management, Civil Engineering, Business Administration, or a related field preferred (equivalent field experience also valued).
- Technical Skills: Proficiency with construction management software (e.g., Procore, Autodesk Construction Cloud, or Bluebeam) and Microsoft Office Suite (Excel, Word, Project).
- Soft Skills: Exceptional organizational skills, laser-sharp attention to detail, and the ability to juggle multiple competing priorities without breaking a sweat.
- Requirements: Ability to occasionally visit active job sites; a valid driver’s license is required.
Physical Demands & Work Environment
- Environment: Primarily an office, with occasional walks through active, construction zones to check progress.
- Physical Ability: Ability to sit or stand at a desk for extended periods; ability to wear standard PPE (hard hat, safety vest, steel-toed boots) and navigate uneven terrain during site visits.
