Payroll Specialist- Hybrid

Role Purpose This role will help elevate the department and drive the strategy of current and future payroll goals, ensuring compliance with all federal, state and local regulations and filings, creating and maintaining all payroll processing documentation and required forms, and operating as a subject‑matter expert for all payroll‑related inquiries. Location Grapevine, Texas (Hybrid) Reporting To Payroll Manager What You Will Be Doing Ensure compliance with federal, state and local wage requirements. Act as the subject‑matter expert and escalation point to resolve payroll issues. Ensure accurate payroll processing. Review and balance payroll reports and time files for accuracy before processing. Analyze payroll issues and recommend corrective actions. Apply proper taxation for employees and employer‑paid benefits. Process garnishment calculations and ensure compliance. Maintain detailed and organized payroll records. Conduct regular audits of payroll records. Resolve payroll discrepancies by collecting and analyzing information. Respond to employee inquiries regarding payroll issues or concerns. Reconcile general ledger entries for payroll transactions. Maintain confidentiality of payroll information to protect employee confidence. Build and maintain excellent working relationships. Provide exceptional customer service. Collaborate with Benefits, HR, Operations, Accounting and Finance to resolve issues. Adhere to local, state and federal safety policies, and company rules. Perform other duties as assigned. Safety, Security, Wellbeing and Compliance Responsible for ensuring a safe working environment, following all health and safety rules and procedures, and complying with the company’s Substance Misuse Policy and all other safety policies. What We Are Looking For Minimum of three years in a payroll specialist role with multi‑state experience (including Puerto Rico and Guam preferred), union payroll administration, wage attachments and tax reconciliations using an in‑house HCM system. Ability to multitask, manage time and adapt to changing priorities. Exceptional customer service skills. Strong organization, attention to detail and follow‑through. Strong written and verbal communication skills; ability to communicate across all levels. Analytical thinking and data interpretation skills. Availability and flexibility to work variable hours, including weekends and holidays when needed. CPP preferred but not required. Functional/Technical Skills Advanced proficiency in UltiPro (Ultimate Software) preferred. Advanced knowledge of MS Office (Excel, Word, PowerPoint). Strong analytical and problem‑solving skills. Time Management Use time effectively, prioritizing important tasks. Compliance Follow all federal, state, and local payroll regulations. Complete required training and maintain certifications.
