Job Description

Under direct supervision, HR and Payroll Business Partner:

• Processing all payroll general ledger entries, ensuring payroll direct deposit completion accuracy and month end reconciliations
• Ensures timely and accurate preparation of payroll and other compensation payments
• Ensure federal, state, and local taxes are setup, administered, and maintained accurately
• Prepare federal, state, and local tax filings
• Prepare tax deposits to taxing agency for all payroll related tax liabilities.
• Ensure all regulatory filings are done in a timely and accurate manner
• Investigate, understand, and reconcile any payroll discrepancies
• Maintain accurate and timely records of employees in our systems in accordance with federal, state, and local laws
• Works with managers and supervisors on issues of payroll to ensure compliance with company procedures, federal, state, and local laws
• Manage workflow to ensure all payroll transactions are processed accurately and timely
• Validate information against Payroll reports to ensure payroll is in balance with quarterly and annual tax filings
• Process accurate and timely year-end reporting
• Partner with managers to ensure timesheets are complete and accurate
• Monitor & process garnishment orders and other issues that impact payroll
• Maintain Capital Stock Table & manage employee stock option agreements
• Process employee requests to exercise stock options
• Employee benefits administration including HSA & 401k deposits.
• COBRA notices and other general employee communication
• Manage MotivHealth’s Employee Policies and Procedures manual
• Manage employee onboarding & general training (HiPAA compliance, Diversity, Harassment, & Cybersecurity)
• Health and welfare plans: administering medical, dental, vision, life, STD, long-term disability (LTD), and supplemental plans; new-hire and qualifying life event enrollment; individual enrollment windows; executive and key-person life insurance; claim support and carrier escalations
• Open enrollment: planning and running the full cycle, from broker and carrier coordination through BambooHR configuration, employee communications, and post-enrollment audits
• Data and eligibility: monitoring and troubleshooting EDI feeds, and dependent eligibility verification
• 401(k): plan administration with Ameritas beyond deposits, including eligibility, automatic enrollment, Safe Harbor contributions, loan repayments, contribution corrections and true-ups, and compliance and reconciliation support
• COBRA: administration and benefit continuation beyond the notices themselves
• Leave and accommodation (entirely missing): FMLA, STD, Maternity Leave, LTD etc
• Employee relations and performance management: Investigations, corrective action, termination coordination, manager coaching, unemployment benefits
• Compliance and audits: Workers comp audit, 1095 and 1094 reporting, in office and digital posters required, federal and all states.

Education and Experience

• Required Bachelor’s degree in Accounting or Finance or 2 years related work experience.

Knowledge, Skills and Abilities

• Familiarity with State and Federal labor and payroll laws
• Knowledge of General Accounting Practices
• Self-motivated, organized, detail-oriented and enjoys working independently while supporting and contributing to team goals
