Job Summary:

The Medical Imaging Records Clerk works collaboratively with the healthcare team and independently. The Medical Imaging Records Clerk will perform a variety of duties to assist in the Imaging Department. The Medical Imaging Records Clerk will assist the PACS department with maintaining and organizing imaging records and image requests while following HIPAA regulations and maintaining a professional demeanor.

Duties/Responsibilities:

  • Uses appropriate resources (equipment, ideas, and personnel) in providing individualized customer interaction.

  • Participates in meetings and committees as assigned.
  • Makes recommendations and suggestions for positive procedure changes, understands and supports the need for change in work, policies, or procedures. Adapts easily and willingly to changes in job responsibilities.
  • Complies with DOH requirements for annual health assessments and required immunizations.

Functionality

  • Uses the Radiology Information System (RIS) to confirm patient demographic information, date of examination completion, and the location of the analog or digital image file.
  • Uses the PC database to extract image files, as required, and export them to the requested media format (digital or analog).
  • Accesses (via the RIS) various worklists and reports as needed.
  • Mails, faxes, or provides oral reports of radiology imaging exams to physicians or medical units. Provides patients or other designated personnel with copies of diagnostic images/reports as required. Using HIPAA guidelines, will confirm and document authorization prior to the release of any PHI.
  • Answers phones and responds to information requests from all service areas and customer venues.
  • Responds to changes in work schedule as necessary.
  • Demonstrates ability to work with members of Health System Information Services to enhance functionality of Hospital and Radiology Information Services and PACS System.

Documentation

  • Uses computer programs per policy and procedure as assigned.
  • Accurately, clearly, and concisely records all pertinent information on the patient’s medical record, according to policy and procedures.

Equipment

  • Regularly checks CD Burner to assure discs are being created.
  • Regularly checks workstations and monitors to assure efficient and accurate recording of reports and patient data on the RIS system.
  • Demonstrates competence and proficiency with all computer-related equipment.
  • Knows the general condition of equipment and is able to troubleshoot problems.
  • Demonstrates ability to send images via Tele-radiography system.

Safety

  • Promptly reports malfunctioning equipment to supervisor.
  • Demonstrates complete knowledge of safety policies and procedures
  • Participates in hospital emergency and disaster drills; knows role in event of a fire while on duty.
  • Utilizes techniques of body mechanics for personal safety

Communication:

  • Demonstrates ability to work effectively and communicate frequently with all members of the health care team.
  • Acts as a resource person for clinical and administrative problems when appropriate.
  • Handles telephone information with courtesy, accuracy, and respect for confidentiality; receives information and distributes messages appropriately.
  • Consistently communicates appropriately with patients; speaks respectfully and responds to patients’ needs or requests for assistance promptly.
  • Explains RIS/PACS and scheduling procedures in easy-to-understand terminology, alleviating anxiety and communicating hospital policy and procedure in regard to information storage and availability.
  • Provides accurate communication in verbal, non-verbal, and written form. Listens effectively.
  • Consistently communicates appropriately and cooperates with Information Services, Admissions, and other Oswego Hospital personnel to assure acute flow of digital information throughout the organization.
  • Demonstrates supportive and understanding communication and behavior when in contact with guests (patients, visitors, clients, physicians, employees, volunteers, etc.), always displaying positive guest relations.

  • Assist the RHIO (HealtheConnections) administrator with image requests from RHIO.

Education and Experience:

• High school diploma or equivalent required

  • Preferred Education: Courses in Medical Terminology
  • Current or recent experience working in an office setting
  • Excellent verbal and written communication

Certification and Licensure:

  • n/a

  • Environmentally controlled medical office environment
  • Fast-paced environment with occasional high-pressure or emergent situations
  • Prolonged periods of sitting and working on a computer; subject to intermittent interruptions.
  • Ability to perform prolonged or extensive standing, walking, and/or traversing.
  • Possible exposure to bodily fluids, infectious specimens, communicable diseases, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a medical environment
  • Frequent interaction with a diverse population including team members, providers, patients, insurance companies and other members of the public
  • Attendance ensures that job requirements are met.
  • Actively participates in Quality Assurance, CQI, cross-training, in-service programs; attend all mandatory classes, meetings and committees as required; complete department-specific requirements/competencies ; accept assignments to other units/shifts as hospital needs require.

Pay Range: $$16.32-$19.58/hr

Employee salary is based on commensurate experience and other qualifications.
