Unit Secretary-Medical Oncology 14P Full-time Weekend Days

Schedule is Friday, Saturday, and Sunday. 12‑hour shifts – 0700‑1930. The Unit Secretary is the receptionist for the patient care unit and often the first point of contact for patients, visitors, and staff. The Unit Secretary coordinates the flow of information at the nurses’ station in a positive and timely manner and assists physicians, nurses, and other health care providers in coordinating the patient’s stay care and experience. Responsibilities Provide courteous and prompt customer service to patients, staff, and visitors. Monitor visitor/employee access, ensuring badges are present in patient care areas and alerting security when necessary. Facilitate communication in difficult situations and appropriately escalates issues. Direct patients, staff, and visitors according to hospital policies. Answer the phone promptly and transfer calls using AIDET, coordinating multiple lines simultaneously. Respond to patient calls via the nurse call system within the identified timeframe, using AIDET and escalating urgent requests. Identify patients with communication needs and ensure calls are handled properly. Prepare medical records on admission, discharge, and transfer, maintaining both paper and electronic records. Assist the care team with obtaining, releasing, and scanning medical records, ensuring all forms are filed correctly. Maintain EMR downtime procedures, report issues to the IT help desk, and verify regulatory documentation at the point of care. Perform charge entry accurately. Execute admission, discharge, and transfer activities, notifying nursing staff and physicians promptly. Coordinate patient identification, caregiver assignment, and chart preparation for transfer. Manage ambulance and Medicare requests, patient escorts, and scheduling for tests and procedures. Track patient activity and bed status, reconciling census with charge nurses and clinical coordinators. Receive, distribute, and store patient care unit deliveries; maintain a clean nursing station and tube station. Place service requests for equipment and repair, ensuring completion; track supplies and requisitions. Perform basic computer and printer maintenance. Maintain staff assignments and phone number lists, ensure unit signage is stocked. Attend required training and other duties delegated by unit leadership. Qualifications Required: High School diploma or GED. Excellent communication and customer service skills. Computer experience. Preferred: One year of college or business school. Unit secretary experience. Medical terminology knowledge.
