We are seeking a customer-focused and detail-oriented individual to join our front office team as a Customer Service Representative .

Position Overview

The Customer Service Representative (CSR) plays a vital role in creating a welcoming and professional experience for our customers. The ideal candidate is friendly, organized, and thrives in a fast-paced environment. As the first point of contact, you will manage front desk operations, support our service team, and ensure clear communication between customers and technicians.

Key Responsibilities

• Customer Service & Communication
• Greet customers warmly and professionally in person and by phone 
• Assist with check-ins, service inquiries, and follow-ups 
• Provide updates on vehicle service status and estimated completion times

• Appointment & Service Coordination
• Schedule appointments and coordinate with technicians 

 

• Sales & Product Support
• Educate customers on recommended services, including oil changes, tire rotations, and accessories 
• Explain warranty coverage and service agreements

 

• Front Desk & Documentation
• Prepare and manage work orders, invoices, and customer records 
• Accurately enter vehicle and service data into our system

• Payment Processing & Reporting
• Process payments (cash, credit, debit) and balance cash register daily 
• Assist with credit reconciliation and basic bookkeeping

 

• Inventory & Warranty Coordination
• Monitor parts inventory, place orders, and track returns and cores 
• Assist with warranty claim submissions and fleet account AR monitoring

 

• Workplace Organization
• Maintain a clean, professional front desk and customer lounge area 
• Ensure marketing materials and displays are up to date

 

• Team Collaboration
• Work closely with technicians and management to ensure efficient shop flow 
• Provide support on special projects and general operations as needed

 

Qualifications:

• Customer Service Experience: Prior experience in automotive, retail, or service-based customer roles preferred
• Communication Skills: Clear, courteous, and professional verbal and written communication
• Multitasking: Ability to manage multiple priorities in a fast-paced environment
• Technical Skills: Comfort using POS systems, scheduling platforms, and Microsoft Office
• Automotive Knowledge: Familiarity with automotive terms and services is a plus, but not required
• Professionalism: Reliable, punctual, and committed to delivering excellent customer service
