Administrative Assistant

The Administrative Assistant provides support to the Program Director. S/he should be detail-oriented with strong organizational skills. The Administrative Assistant will utilize and develop many systems that correspond directly with daily business operations.Primary ResponsibilitiesWorks closely with Program Director to ensure staff and children files are maintained to a compliant state per licensing requirementsOversees center Procare account (such as processing weekly billing, creating/editing accounts, and updating data tracking information)Reports out weekly attendance for payment by using state publicly funded system and relays missed attendance to parents to correctCompiles and submits monthly USDA food program reportMaintains confidentiality regarding all staff and families in the programSupports Program Director with Head Start and Early Head Start requirements (data entry, enrollment, billing, etc.)Daily OperationsGreets families and children as they enter and exit the buildingCompletes office, food, and classroom supply orders as neededDemonstrates a commitment to diversity, equity and inclusion with the ability to work directly with people from diverse racial, ethnic, and socioeconomic backgroundsOther duties as assignedMinimum Education, Experience and Other Skill Requirements:HS diploma or equivalent (GED) required, associate degree in a related field preferred.Requires proven experience of at least two years in an office administrative role.Excellent time management skills and the ability to prioritize work, while maintaining attention to detail in a fast-paced environment are essential.Proficiency in Microsoft Office applications including Excel and Word required with a minimum typing skill of 50 WPM.Knowledge of Procare, Kinderconnect, and similar systems are preferred, but not required.Physical demands:The physical demands are representative of those that must be met by an employee to successfully perform the essential functions of this job.
