This position plays a vital role in maintaining customer satisfaction, building relationships, and contributing to our company's success by delivering top-notch customer service. This position is responsible for sorting mail, receiving deliveries, coordinating conference space, and assisting the Office Management Supervisor with administrative functions.Essential Duties:Customer Support: Interact with customers via phone, email, or in-person to assist with inquiries and general support.Issue Resolution: Address and resolve customer concerns, complaints, and requests promptly and professionally, ensuring a high level of satisfaction.Calendar Management: Scheduling and coordinating meetings, appointments, and travel arrangements as needed.Communication: Act as the primary point of contact for internal and external stakeholders, screening and prioritizing communications, and handling inquiries when appropriate.Meeting Coordination: Schedule conference spaces and coordinate meetings in partnership with administrative leadership.Travel Arrangements: Book travel arrangements including conference registration, flights, accommodations, and transportation for employees/clients as needed.Document Preparation: Prepare and edit documents, reports, and correspondence as requested.Data Management: Maintain and organize electronic and physical files, ensuring information is easily accessible and secure.Expense Management: Track and process expense reports for scheduled travel ensuring compliance with company policies.Project Support: Assist with special projects and initiatives providing administrative support as needed.Confidentiality: Handle sensitive information and always maintain strict confidentiality.Other duties as assignedSchedule: Monday - Friday, 8:30am-5pmMinimum Qualifications:Education: High school diploma or GED required.Experience: Two or more years of experience in a clerical, data management or related field. Previous experience working with Senior Management.To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
