Sales & Client Operations Associate (San Diego)

We are a boutique real estate investment advisory focused on 1031 exchanges and Delaware Statutory Trust (DST) placements.

As our deal flow grows, we're hiring a detail-oriented Sales & Client Operations Associate to support our senior advisor and keep every client relationship moving smoothly from first conversation to close.

This position is the operational backbone of the practice. You will own the day-to-day workflow around each deal, client follow-up, scheduling, CRM management, deadline tracking, and paperwork coordination. This allows the advisor to focus his time entirely on clients. It's a high-trust, high-ownership seat ideal for someone who takes pride in accuracy, organization, and never letting a detail slip.

Principal Duties

- Client follow-up & scheduling - Serve as a consistent point of contact for interested prospects and clients; coordinate the advisor's calendar, book meetings, send pre-approved materials, and follow up on all outstanding items.

- Pipeline & CRM management - Maintain accurate, timely records in HubSpot: log all call notes, update deal stages and lead statuses, and manage follow-up tasks so nothing falls through.

- Deadline tracking - Monitor escrow close dates and the 45- and 180-day 1031 exchange timelines; proactively flag and escalate time-sensitive items before they become issues.

- Paperwork & coordination - Prepare and track subscription and account documents, coordinate with custodians, QIs, CPAs, and realtors, and keep each deal's documentation complete and current.

- Lead & data management - Organize, enrich, and maintain the contact database; prepare recurring activity and pipeline reports for the advisor.

- Compliance support - Maintain records consistent with firm and FINRA requirements and support audit-readiness.

This position does not provide investment advice, make securities recommendations, or maintain a book of business. All product- and suitability-related matters are handled by the licensed advisor.

Qualifications

- 1–2 years of experience in sales support, client service, or operations at an RIA, broker-dealer, bank, or real estate / transaction-coordination setting (required)

- Exposure to 1031 exchanges, DSTs, or wealth management a strong plus

- Experience with a CRM (HubSpot preferred); quick to learn new platforms

- Excellent written and verbal communication, clear, confident, and professional with clients

- FINRA licenses not required; candidates pursuing (or open to pursuing) the SIE/Series 7/63/65 are encouraged - licensing creates clear advancement potential. 

Compensation

$21.25-$27.50
