Administrative Assistant - Construction

JDK Associates, Inc. is seeking a dependable and organized Administrative Assistant to provide administrative support to our office and field staff. This is a full-time position, Monday through Friday, 8:00 a.m. to 5:00 p.m. The ideal candidate will be highly organized, detail-oriented, comfortable managing multiple priorities, and able to work effectively in a fast-paced construction environment. Responsibilities Perform general administrative, office, and clerical duties. Maintain vehicle and equipment hour records, maintenance schedules, and service logs. Track material orders and deliveries for multiple construction projects. Review subcontract agreements and project-related documents. Assist with preparation of basic proposals, correspondence, letters, and project fees. Assist project manager with project setup, organization of job information, document preparation, and project billing. Coordinate vendor invoices, including purchaser review and approval, coding, and submission to accounting. Maintain seasonal and permanent employee records and related documentation. Assist with company initiatives involving safety, quality control, and employee training. Maintain accurate and organized electronic and paper project files. Communicate with vendors, customers, subcontractors, and field personnel as needed. Perform other administrative duties as assigned. Required Skills Strong organizational skills with the ability to prioritize multiple projects, deadlines, and tasks. Excellent attention to detail and accuracy. Strong analytical and problem-solving skills. Proficiency with typing, data entry, and general computer applications. Ability to learn and work with various office and project-management systems. Strong customer service skills and professional telephone and email communication. Excellent written and verbal communication skills. Ability to work independently while also supporting a team environment. Preferred Qualifications High School Diploma or equivalent. One or more years of experience in office administration, construction administration, project coordination, or a related position.
