Basic Function Under the direction of the assigned administrator or manager, assists in the coordination and implementation of the assigned student services program(s); performs a variety of clerical duties to support day‑to‑day activities and workflow of the office and relieve the administrator or manager of administrative tasks. Representative Duties Perform a variety of clerical duties and administrative relief functions in support of the assigned Student Services program(s), providing supportive services to department managers, faculty, and staff. Assist in coordination, scheduling, and implementation of assigned student services programs and educational assessment tools and schedules. Assist in budget preparations and expenditure requests; track and maintain budget expenditures and notify manager or administrator of discrepancies or issues requiring review. Maintain and update records and files of program and staff attendance, department information, and related materials such as correspondence, lists, contracts, and forms; prepare a variety of correspondence including memoranda, emails, and informational materials related to the assigned student services programs. Communicate with other District departments, personnel, faculty, students, outside organizations, institutions, and the public related to the assigned student services program. Review documents for accuracy, completeness, and compliance with established procedures, standards, and guidelines. Maintain appropriate security of assessment materials and results; explain assessment procedures and appropriate policies and regulations. Interact with staff and students who use educational assessment tools; receive inquiries and respond to questions regarding assessments and scoring; distribute assessment records to college personnel and students; respond to special requests; refer students to appropriate counselors; maintain confidentiality. Operate modern office equipment and software, and program databases and/or systems. Generate and prepare standard reports, including student attendance and program budget expenditures. Serve as receptionist for faculty, staff, and students; receive and greet visitors; provide information regarding programs, procedures, and activities; direct students, staff, and/or visitors to appropriate staff or departments. Update, maintain, and distribute program and/or department materials; prepare correspondence related to assigned programs. Perform clerical and administrative duties in support of the department’s day‑to‑day activities and operations: greet and direct visitors, answer calls, open and distribute mail, photocopy documents, ensure maintenance of work areas, enter service requests to IT, facilities, and maintenance, contact vendors for equipment service, and perform simple repairs or maintenance when needed. Perform related duties that support the overall objective of the position. Knowledge and Abilities Knowledge of District and college policies, procedures, rules, and regulations related to the area of assignment. California Education Code and Title V and FERPA. District organization, operations, policies, and objectives applicable to the area of assignment. Federal, state, and local laws, codes, and regulations and District policies and practices relevant to the area of responsibility. Registration requirements and related administrative practices. Operations, procedures, and objectives of college student services programs. Record‑keeping, filing, and file sharing methods and techniques. Effective communication skills both verbally and in writing. Operation of standard program software, equipment, and current technology. Modern office methods and best practices for office equipment use. Correct English usage, grammar, punctuation, and vocabulary. Computer software programs, databases, and ERP systems; computer hardware and peripheral equipment related to the area of the assignment. Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Ability to Independently perform essential responsibilities of the position. Assist in coordination and implementation of student services programs. Relate effectively to economically and educationally disadvantaged students. Advise and assist students in various student services programs. Perform clerical and administrative functions. Learn, interpret, explain, and apply rules, regulations, policies, and procedures. Maintain confidentiality of student files and records. Update and maintain records and files; generate and prepare standard reports. Plan, organize, and prioritize workload to meet schedules and timelines. Exercise tact and diplomacy in sensitive situations. Work well with students from diverse backgrounds. Communicate verbally and in writing with students, staff, and the public. Type at an acceptable speed and compose a variety of correspondence. Establish and maintain effective working relationships. Education and Experience High school graduate or GED. One year progressively responsible experience in an office environment. Or a combination of education and experience that provides the required qualifications. Working Conditions Physical Demands Regularly required to sit or stand for extended periods; use hands repetitively to operate computers and office equipment; occasionally lift up to 20 pounds. Mental Demands Required to use written and oral communication skills; read and interpret data; perform detailed work on concurrent tasks; interact with diverse individuals, some of whom may be dissatisfied or abusive.
