Staffing Coordinator

SNI Companies is seeking an Administrative & Staffing Coordinator to provides administrative, staffing, payroll, and operational support to ensure the efficient day-to-day functioning of the organization. This role serves as a key liaison between candidates, clients, recruiters, managers, and vendors while coordinating onboarding, payroll administration, office operations, reporting, and employee support.

Fantasy football league, annual field day, trip to the state fair, office potlucks, Halloween costume contest, happy hours, and lots of celebrations Key Responsibilities Coordinate onboarding for internal employees and external Texas candidates, including I-9 processing, onboarding documentation, background checks, and drug screenings. Provide ADP support, including account registration, login assistance, W-2 and pay stub requests, and basic benefits inquiries. Assist with weekly payroll by collecting and entering timesheets, obtaining client approvals, sending reminders, processing payroll adjustments, and supporting payroll operations. Prepare and maintain weekly reports, including payroll reports, ends reports, adjustment logs, SharePoint updates, and operational tracking reports. Manage daily office operations, including mail distribution, shipping, office supply inventory, vendor and building management communication, conference room scheduling, reception coverage, and office organization. Process monthly expense reports for leadership. Support recruiting efforts by posting jobs, creating client-ready resumes, designing LinkedIn recruiting graphics, and assisting candidates and clients. Manage employee documentation by filing, organizing, maintaining, and securely disposing of confidential records. Provide basic IT support, including new hire equipment setup, equipment retrieval, troubleshooting, and coordinating with IT support. Provide administrative support to leadership and assist with special projects and other operational needs as assigned. Qualifications Experience in administrative support, staffing, human resources, payroll coordination, or office management preferred. Strong organizational, communication, and multitasking skills. Experience with ADP, Microsoft Office, SharePoint, Job Diva, and recruiting platforms preferred. Ability to maintain confidentiality while managing sensitive employee information.
