Scheduling Coordinator - Beverly Hills Multispec360 - Full Time 8 Hour Days (Non-Exempt) (Union)

The Scheduling Coordinator schedules patient appointments, follow‑ups, and surgeries as appropriate in the assigned unit/clinic. They monitor patients through various phases to ensure completion of required testing and services, validate financial clearance, and provide customer service when interfacing with patients in person and on the phone. They alert clinicians when testing is complete or when patients are non‑compliant, coordinate the collection of testing results and provider notes, and coordinate care with ancillary departments. They obtain authorizations and pre‑authorizations for services, schedule ancillary appointments, ensure patient charts are prepared prior to appointments or surgery (including x‑rays and relevant lab work), and arrange special equipment as needed. They review and code charge slips for patient care services, maintain files and records, and keep the master appointment/surgery calendar for physicians. Essential Duties Utilizes courtesy, compassion, kindness, and honesty while interacting with patients and clinic personnel; greets patients professionally. Adheres to patient confidentiality policies. Processes new referrals in a timely manner, obtaining required outside medical records, entering demographic information, and providing insurance information for financial clearance. Schedules patient appointments in a timely manner, including pre‑operative, post‑operative, imaging, laboratories, procedures and consultations. Requests and processes authorizations related to surgery and verifies benefits with insurance providers. Coordinates pre‑operative appointments with patients and providers (surgeries, labs, imaging). Maintains and accurately processes pre‑operative and post‑operative documentation. Communicates and schedules surgeries with hospital personnel, ensuring all necessary records are received. Provides proper patient instructions per scheduling protocols. Notifies patients of upcoming appointments promptly. Proactively manages clinic schedules and communicates changes to involved personnel. Uses computer systems (e.g., Cerner, GE Centricity Business) accurately. Resolves issues with hospital personnel and accommodates patient needs. Preps charts for appointments and follows chart format guidelines. Provides estimates of patient liabilities (copay, deductible, co‑insurance, deposits, self‑pay) and collects payments. Provides phone coverage and reads email throughout the day, returning voicemails within 24 hours. Demonstrates flexibility in covering other staff members for sick time, vacation or leave. Works independently and as part of a team to accomplish duties timely. Maintains open communication with management, providers, hospital staff and demonstrates a professional demeanor. Performs other duties as assigned. Required Qualifications High school diploma or equivalent. Minimum of 2 years experience in a health‑care setting. Prior experience in a clerical, administrative, or receptionist role. Minimum of 1 year experience with surgical coordination. Minimum of 6 months experience with surgical authorizations. Excellent communication skills in English (speaking, reading, writing). Comfortable with computers and medical terminology. In‑depth knowledge of all insurance types. Working knowledge of scheduling coordination within or supporting surgical departments. Required Licenses/Certifications Fire Life Safety Training (LA City).
