Clinical Operations Manager — Autism Diagnostic Services

Overview Employment Type: Full-Time, Part-Time, or Contract — Open to the Right Candidate Start: Immediate About Us We are a newly formed autism evaluation and diagnostic services provider based in Brooklyn, focused on delivering comprehensive, insured & private-pay ASD assessments to our clients throughout the 5 boros. Our evaluation model uses gold-standard instruments including the ADOS-2, ADI-R, SRS-2, Vineland-3, and DSM-5 criteria. We are building a lean, high-volume, clinically rigorous practice from the ground up. The Role This is a hands-on, startup-minded operations role. You will own the full clinical workflow from the moment a referral comes in to the moment a completed report is delivered and a claim is submitted. You will work closely with the founding team and our supervising psychologist to build efficient, scalable processes that maximize throughput, quality, and reimbursement. This is not a clinical role — you will not be diagnosing patients. But you need to understand the clinical process deeply enough to optimize it. Responsibilities What You\'ll Own Intake & Scheduling Design and manage the referral intake process from ABA providers, pediatricians, and other sources. Triage incoming referrals and coordinate with families to schedule evaluations Build and maintain scheduling systems to maximize evaluator utilization Test Selection & Administration Workflow Determine appropriate assessment batteries based on referral reason, age, and insurance requirements Sequence test administration across sessions to maximize billable time and minimize redundancy Develop standardized protocols for each evaluation type (Medicaid vs. commercial vs. cash-pay) Train and supervise psychometrists and behavior technicians on administration procedures Understand CPT coding for psychological testing (96130, 96131, 96136, 96137 and related codes) Work with billing staff or vendor to ensure accurate, complete claim submission Track authorization requirements by payer and ensure prior approvals are in place Identify billing gaps and help maximize legitimate reimbursement per evaluation Hiring & Team Building Help recruit, screen, and onboard psychometrists, behavioral analysts, and support staff Build onboarding and training protocols for new clinical staff Manage day-to-day staff scheduling and performance Compliance & Documentation Ensure all evaluations meet Medicaid documentation requirements Maintain HIPAA-compliant records and workflows Coordinate with supervising psychologist for required sign-offs and oversight Qualifications Note: Strongly preferred tags removed; content preserved. Required 3+ years of experience in an autism diagnostic, neuropsychological testing, or behavioral health clinical operations role Hands-on familiarity with ASD assessment instruments (ADOS-2, ADI-R, Vineland, SRS-2 or similar) Working knowledge of insurance and Medicaid billing for psychological testing services in New York State Experience supervising or training psychometrists, behavior technicians, or clinical support staff Strong organizational skills and comfort building processes from scratch NYC-based or able to work hybrid in New York City Strongly Preferred Experience at a multi-clinician psychology practice, ABA provider, or autism diagnostic center Familiarity with eMedNY, Medicaid MCO credentialing, and prior authorization workflows Experience with EHR/practice management software (e.g., SimplePractice, Therapy Brands, or similar) BCBA, psychometrist certification, or related credential You Are A builder — you enjoy creating structure where there isn\'t any Detail-oriented but strategic — you can zoom in on a CPT code and zoom out to see the business A strong communicator with families, clinicians, and administrative staff alike Comfortable in an early-stage, fast-moving environment Base salary: $60,000–$80,000/year depending on experience and engagement structure Performance bonus tied to operational metrics Opportunity for profit-sharing as the company scales Ground-floor role with significant growth potential as we expand to multiple locations How to Apply Send your resume and a brief note on your experience with autism diagnostic operations to: View email address on click.appcast.io We respond to every application.
