RESPONSIBILITY:

The Senior Payroll Specialist serves as the Company's primary payroll subject matter expert and is responsible for the accurate, timely, and compliant administration of all payroll activities. This position independently manages end-to-end payroll processing, payroll tax compliance, payroll accounting, benefits deductions, regulatory reporting, and payroll system administration for a workforce of 500+ employees.

JOB DUTIES:

Payroll Administration

• Serve as the Company's payroll subject matter expert with full responsibility for end-to-end payroll administration.
• Oversee, process, audit, and transmit weekly payroll for 500+ employees, ensuring accuracy and timeliness.
• Review and verify employee timekeeping, attendance, overtime, shift differentials, bonuses, deductions, and other payroll-related transactions.
• Ensure payroll processing complies with federal, state, and local wage and hour laws and Company policies.
• Maintain employee payroll records including new hires, department changes, compensations changes, bonuses, separations, and terminations.
• Process off-cycle payrolls as needed.
• Maintain payroll calendars and ensure all payroll responsibilities are completed according to established deadlines.
• Develop, maintain, and continuously improve payroll procedures and workflow documentation to support business continuity.

Payroll Tax Compliance & Regulatory Reporting

• Work with ADP to ensure we are incompliance with federal, state, and local payroll tax filing requirements.
• Work with ADP on year-end payroll reporting such as W-2 and related adjustments.
• Work with ADP to respond to payroll tax notices.
• Maintain payroll tax registrations and compliance requirements in applicable jurisdictions.
• Stay current on changes to payroll laws, regulations, tax requirements, and wage and hour legislation.

Benefits & Retirement Administration

• Administer payroll-related employee benefit deductions including medical, dental, and other benefits.
• Ensure benefit deductions are correctly established, updated, and reconciled with carrier invoices and enrollment records.
• Assist with annual open enrollment payroll updates and deduction testing.
• Administer 401(k) payroll deductions and ensure accurate and timely transmission of employee and employer contributions.
• Coordinate weekly funding and remittance of 401(k) elective deferrals and loan repayments.
• Reconcile retirement plan contributions and supporting payroll records.

Garnishments & Leave Administration

• Administer all wage garnishments, child support orders, tax levies, and creditor garnishments in compliance with applicable laws.
• Maintain accurate garnishment records and ensure timely remittance of required payments.
• Coordinate payroll impacts related to FMLA, Disability leave, and other leaves of absence.
• Monitor and maintain employee PTO balances in accordance with Company policies.

Payroll Accounting & Reconciliations

• Prepare and record payroll journal entries.
• Support monthly and year-end close processes related to payroll accounting.

Payroll Systems Administration

• Serve as the primary administrator for payroll and timekeeping systems.
• Maintain payroll earnings codes, deduction codes, tax tables, organizational structures, and employee payroll settings.
• Test payroll system upgrades and process changes.
• Recommend and implement payroll process improvements to increase efficiency, accuracy, and internal control effectiveness.

Audit, Compliance, & Internal Controls

• Maintain strong payroll internal controls to ensure compliance, accuracy, and prevention of fraud.
• Ensure payroll records are organized, complete, and audit ready.
• Lead payroll audit support activities and provide required payroll reports, reconciliations, and supporting documentation.
• Prepare employment-related reports requested by government agencies, auditors, and management.
• Maintain compliance with document retention requirements and data privacy standards.

Employee & Management Support

• Serve as the primary point of contact for employee payroll questions and concerns.
• Research and resolve payroll discrepancies and employee inquiries.
• Advise managers and supervisors on Company payroll policies, attendance programs, paid time off, and related payroll practices.
• Provide payroll reporting and workforce analysis to support management decision-making.

Accounts Payable

• Enter accounts payable invoices into the ERP system for payment processing.
• Review invoices for proper approval and coding.
• Process weekly check runs and electronic payments.
• Handle vendor inquiries and resolve payment-related issues.
• Work with Purchasing and department managers to resolve discrepancies and past-due accounts.
• Assist in maintaining accurate vendor records.
• Review monthly commission reports and coordinate with Sales regarding commission calculations and payments.

General Accounting Functions

• Reconcile bank accounts monthly.
• Assist with month-end and year-end closing activities.
• Provide backup support for other Finance Department functions when needed.
• Assist with special projects and financial reporting assignments as requested.
• Perform other duties as assigned by management.

EDUCATION / EXPERIENCE & SKILL REQUIREMENTS:

• Ability to communicate effectively in English, both written and orally.
• High school diploma or general education degree (GED) required, bachelor's degree preferred. Certified Payroll Professional (CPP) designation preferred.
• Minimum of five (5) years of payroll administration experience supporting 500+ employees.
• Experience independently managing full-cycle payroll operations.
• Experience with ADP, payroll systems, timekeeping systems, and accounting software required.
• Experience processing multi-state payroll preferred.
• Experience with payroll audits, payroll tax administration, and regulatory compliance required.
• Manufacturing payroll experience preferred.
• Strong understanding of Payroll laws and regulations, payroll taxes, wage and hour compliance, payroll accounting, and general ledger reconciliations.
• Intermediate to advanced Microsoft Excel skills required.
• Strong analytical, organizational, and problem-solving abilities.
• Exceptional attention to detail and accuracy.
• Ability to manage multiple priorities and meet strict deadlines.
• Ability to maintain confidentiality and exercise professional judgment.
