Leasing Manager

Reports to: Property Manager Basic Responsibilities: Greet all residents, future residents, and internal team members in a professional and consistently positive manner. Keep a high level of service in mind with every task while resolving conflict to benefit all concerned parties. Tour apartment homes and community grounds including models, amenities, and vacant apartments. Prepare lease documents and related paperwork for management. Facilitate the move in/move out process. Basic bookkeeping and clerical work. Promote positive resident relations. Respect the boundaries of confidentiality, fair housing, laws and safety. Execute on site marketing and advertising directives. Be accurate and organized. Basic Duties Follow standard office procedures. Open models and inspect the tour path. Orient oneself with the property and surroundings. Accept maintenance requests and handle resident calls. Assist residents with rental, move-in, and renewal paperwork. Assist with any other office function that may be delegated by the community manager or other staff members. Answer telephones and provide exceptional service. Create a sense of urgency when making appointments for future residents to visit the community. Complete telephone and on site guest cards/traffic reports. Be able to ask for the sale. Complete follow up. Email correspondence with current and prospective residents and vendors of the property. Leasing and Marketing Handle telephone and on-site traffic, provide information about apartments and the community to prospective residents, schedule visits to the community, and show made-ready apartments. Successfully close new sales, lease apartments, and determine if prospective residents meet community qualifications. Maintain an accurate and in-depth knowledge of all aspects of the community, particularly in areas such as rent and pricing information, vacancies, apartment availability, lease expirations, square footage, etc. Complete follow-up Thank You notes, call-backs, and e-mails with prospects after the initial community visit. Monitor all vacancies and future vacancies in order to react proactively to future occupancy needs. Understand and comply with Fair Housing laws and standards. Work with the community staff to make sure that the property’s appearance is acceptable and that apartments are ready to show to prospective residents. Inspect vacant apartments on a regular basis to ensure that they are ready to show to prospective residents. Assist with implementing resident retention and renewal programs. Monitor community advertisements, the effectiveness of responses, and maintain the ad book. Gather information about markets and competition. Analyze concerns associated with apartments which are slow to lease and offer recommendations. Assist other staff members as needed. Maintain open communication with other members of the community staff. Represent the Company in a professional manner at all times. Effectively explain all lease and community policies to new and current residents. Assist in the planning and implementation of, and attends, various community sponsored resident functions and activities. Administrative Duties Accurately and efficiently prepare and assist with all leasing paperwork (i.e. applications, lease agreements and addendum, and move-in packets). Conduct follow up activity as needed with new and current residents in order to establish and maintain positive resident relations. Complete service requests and communicate requests to the maintenance staff on a timely basis. Collect security deposits, rent and all other funds associated with resident moves. Other Job Functions Assist in creating the monthly newsletter. Attend and participate in training seminars as requested. Make recommendations to management regarding improvements for the overall operation and safety of the community. Perform other duties as assigned. Ideal Candidates Must Possess Strong interpersonal and communication skills: verbal, listening, and written Basic typing and clerical skills. Ability to multi-task. Projection of a professional image by following dress code and appearance standards as set forth by the community. Reliable transportation. Excellent telephone skills. A positive, upbeat attitude. Sales skills. Strong organizational skills, both electronically and paper. Must be goal oriented and proactive. Minimal overhead reaching to perform various office duties as assigned. Frequent standing for short amounts of time to perform various office duties. Occasional walking to show apartments, inspecting the tour path and grounds, and opening models. Frequent sitting for long periods of time at desk or workstation. Use of other small office machines to perform various office duties as assigned. Minimal squatting or bending to perform various office duties as assigned. Job hours All Leasing Agents are required to work at least 1 Saturday per month. Required Education and Skills Must possess a valid Illinois driver’s license and personal automobile insurance.
