PBX Specialist - Patient Communications Team

Benefits Competitive salary Dental insurance Health insurance Paid time off Vision insurance Position Overview We are looking for a highly driven and efficient PBX Specialist whose primary focus is keeping provider schedules full and optimized at all times. This role is critical to the success of our clinics. The number one priority is getting patients scheduled and maintaining a full schedule at least 2–3 months in advance. If you are fast, organized, and know how to take control of a phone call while delivering great service, this role is for you. Key Responsibilities Execute high-volume outbound calls (80%) to schedule patients, confirm appointments, and fill gaps in provider schedules Manage inbound calls (20%), assisting patients and directing them through the phone system appropriately Ensure provider schedules are consistently full for the next 2–3 months Proactively identify open slots and immediately work to fill them Navigate and manage a multi-line PBX phone system efficiently Route patients accurately to the correct department or provider Schedule appointments with speed, accuracy, and attention to detail Document all interactions clearly within the system Work closely with the front desk, providers, and leadership to maintain strong patient flow What We’re Looking For Strong focus on results and performance, especially around scheduling volume Excellent multitasking ability in a fast-paced environment Computer-savvy with the ability to learn systems quickly Clear, confident, and professional communication skills Strong organizational skills and attention to detail Ability to stay efficient under pressure and high call volume Positive attitude with a team-oriented mindset Self-motivated and dependable Experience No medical experience required – we will train you Experience in call centers, scheduling, or customer service is a plus Work Environment Fast-paced, team-driven clinic setting Supportive leadership with hands-on training Clear expectations and measurable goals Opportunity for growth based on performance What Success Looks Like Provider schedules are full 2–3 months in advance Minimal open appointment slots High outbound call productivity Efficient call handling with accurate scheduling Strong contribution to overall clinic growth #J-18808-Ljbffr
