Position Summary: The Reentry Support Institute within Roosevelt University is committed to helping previously incarcerated citizens return to community and family life. The Program Coordinator provides primary support to the Director of Administration, ensuring day-to-day functions are met through supply/inventory management, creating a welcoming, positive lobby, fostering meaningful connections with each participant, taking notes for all meetings, and record management. Additionally, the Program Specialist is responsible for answering all program inquiries by phone, email, or mail, enrolling new participants in the Life Skills Class, mailing flyers, and monitoring participant computer usage.

This is a full-time, at-will, non-exempt, administrative position reporting to the Director of Administration at the Reentry Support Institute in the College of Humanities, Education, and Social Sciences (CHESS). The 37.50-hour workweek schedule is Monday through Friday from 8:30 am 4:30 pm, including a 30-minute unpaid meal break.

Knowledge, Skills and Abilities Required: A high school diploma or GED. A minimum of 2 years of professional experience in an administrative or customer service role, which primarily consisted of in-person interaction with clients/participants. Ability to communicate effectively with a variety of individuals from various socioeconomic, ethnic, and cultural backgrounds. Ability to work collaboratively on tasks and projects with other staff through mutual idea sharing and creative problem-solving. Highly organized and detail-oriented, with excellent time-management skills. Ability to multitask, meet deadlines, and manage changing priorities. Demonstrated proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

Preferred Qualifications: Undergraduate field of study in behavioral sciences or related field, such as sociology, social work, psychology, vocational guidance, or other field related to employment services. Experience working with previously incarcerated or other at-risk populations, with an understanding of the challenges and barriers facing ex-offenders during reentry. Ability to provide a welcoming and safe space for participants with the ability to de-escalate most situations.

Equipment Operated: Basic office equipment (desktop computer, laptop, office printer/ multi-function device and phone).

Working Conditions: A normal climate-controlled office environment is provided. The job is largely sedentary, but frequent movement throughout the office and buildings is required. Occasional bending, stooping, lifting, pushing, and/or pulling is required (typically less than 10 pounds of weight or pressure). Regular use of a desktop computer is required, calling for frequent hand/wrist movement and repetition. Moderate level of stress.

Essential Job Functions

Duty and Responsibility: Reentry Support Institute Administration: Manage office and participant service inventory, including assembling hygiene kits and graduation bags, and notify the director of administration when reorders are needed. Create and maintain participant folders, including participant status updates; update the filing system format; and archive. Receive and disburse incoming mail, process referrals (which includes database entry and return mailings), and prepare any outgoing mail for postage. Maintaining success and graduation photos displayed within the office, including adding to existing displays, printing new photos, and ensuring accessibility of photos via Microsoft OneDrive for the department. Notate and summarize the Friday staff meeting minutes and email to the rest of the staff no later than the end of the day the following Monday.

Duty and Responsibility: Participant Intake & Support: Answer incoming calls or review voicemails. Respond to new and continuing participant inquiries via phone, email, and mail or transfer to appropriate staff. Maintain a welcoming, positive atmosphere for all participants in the office's main waiting area. Enroll new participants in upcoming LSRP classes, including intake forms, program information, scheduling intake assessments with staff, and verifying IDOC background information. Assist continuing participants working at computer stations within the office, including updating resumes and cover letters, answering questions related to job searching and employment, and assisting with basic digital literacy refreshers.
