Service Dispatcher

Job Description

We are seeking an experienced Service Dispatcher with a background in the HVAC or facility services industry . The ideal candidate will assist the service department with coordinating technicians, handling customer requests, processing work orders, preparing proposals, scheduling parts, and creating customer invoices.

Experience with field management software such as BuildOps or ServiceTitan is strongly preferred.

Key Responsibilities

• Prepare, organize, and submit accurate proposals and bids.

• Track orders from placement through fulfillment.

• Coordinate deliveries with suppliers, carriers, and customers.

• Maintain accurate records of proposals, orders, and follow-ups.

• Support sales and operations teams with customer service and administrative tasks.

• Use CRM and sales tools to track opportunities and customer activity.

• Communicate with customers to understand their needs, budget, timeline, and next steps.

• Schedule and coordinate service technicians and parts orders.

• Process work orders and prepare customer invoices.

• Provide additional administrative support as needed.

Requirements

• 3+ years of experience as a Service Dispatcher in HVAC or facility services is required.

• Experience with order management or field service management systems is a plus.

• Basic understanding of building mechanical systems and customer needs.

• Strong customer service and communication skills.

• Excellent organizational and attention-to-detail skills.

• Ability to take initiative and work independently.

• Strong computer skills and proficiency with Microsoft Office.

• Professional and polished communication skills.

• Ability to learn and adapt to new technology.

• Motivated, persistent, and results-oriented.
