Operations and Finance Administrator Department: Financial & Operations Admin Employment Type: Full Time Location: Wellington Description The Opportunity This isn't your typical administration or finance role. You’ll be the person who makes everything work. Supporting a Founder, philanthropic foundation and investment entities in a highly varied role that requires top level organisation, service and attention to detail. Working from a beautiful Wellington-based Family Office, you'll provide operational, administrative and financial support. This role offers plenty of variety. One moment you may be coordinating meetings or processing financial transactions, the next you're hosting guests, or anticipating what the team needs before they've even asked. This is a highly trusted, hands-on role for someone who takes genuine pride in creating exceptional experiences, maintaining impeccable standards, and ensuring everything runs smoothly behind the scenes. This is a permanent position, up to 40 hours a week. What You'll Be Doing: Providing proactive support to the Founder, 2 x CEOs and wider team across a range of operational, administrative and governance activities. Managing day-to-day financial administration including transaction processing, reconciliations and payments. Creating an exceptional workplace experience by ensuring the office is welcoming, organised, beautifully maintained and ready for success every day. Coordinating meetings, events, systems and key business processes. Acting as the central point of coordination across entities, ensuring nothing falls through the cracks. Skills and Experience We're Seeking: We're looking for someone who has experience working in a small organisation and understands that your role is often broad and multifaceted. We need someone with a service mindset who sees no job is too small if it means the success and enablement of the wider team. You Will: Have had experience in financial administration including A/P, A/R, credit card and bank reconciliations. Be comfortable using technology such as SharePoint, Xero, Diligent and troubleshooting under pressure. Be naturally organised, meticulous and exceptionally detail-oriented. Be able to prioritise in order to focus on the right things at the right time. Anticipate needs, spot issues before they arise and always be thinking three steps ahead. Take pride in creating beautiful, organised and highly functional environments. Thrive in a dynamic, fast-moving setting where priorities can shift and be flexible and agile to move with it. Be comfortable juggling administration, office operations, finance and stakeholder support. Bring warmth and professionalism when working with a wide variety of people.
