Advertising & Scholarship Coordinator

The Advertising & Tax Credit Scholarship Coordinator is responsible for developing new and recurring revenue opportunities for the Rapid City Catholic School System (RCCSS) through advertising, sponsorships, business partnerships, and other community-based revenue initiatives. The Coordinator will also oversee and coordinate the RCCSS Tax Credit Scholarship program.

A primary focus of this position is to proactively identify, cultivate, and secure relationships with businesses and organizations that are interested in supporting Catholic education. The Coordinator will develop advertising and sponsorship opportunities throughout RCCSS schools, athletic programs, events, publications, facilities, and other appropriate platforms.

The Coordinator will serve as a professional representative of RCCSS in the business and broader community and will work closely with the Superintendent, Director of Advancement, school administrators, Finance/Business Office, advancement personnel, and parish leaders to maximize revenue opportunities while ensuring all partnerships align with the mission and values of RCCSS.

The ideal candidate will be outgoing, driven, organized, creative, and comfortable with sales and relationship development, with a strong commitment to Catholic education and the mission of forming hearts and minds in the Truth.

Key Responsibilities:

Advertising & Revenue Development

● Develop and implement an annual strategy to increase advertising and sponsorship revenue for RCCSS.

● Identify, prospect, and establish relationships with local businesses, corporations, organizations, and community partners.

● Proactively solicit and secure advertising agreements, sponsorships, and partnerships.

● Develop professional advertising packages, sponsorship opportunities, rate sheets, proposals, and presentations.

● Create and maintain a comprehensive database of current and prospective advertisers and sponsors.

● Identify new advertising opportunities throughout RCCSS, including:

○ Athletic programs and events

○ School events

○ Fundraising events, such as The Cavalier

○ School publications

○ Event programs

○ Signage and banners

○ Athletic facilities

○ Digital and online platforms

○ Other appropriate RCCSS venues and activities

● Establish pricing and sponsorship levels in consultation with the Superintendent, Director of Advancement, and appropriate RCCSS personnel.

● Maintain regular contact with current advertisers to encourage renewals and identify opportunities for increased support.

● Track advertising agreements, payments, deliverables, and renewal dates.

● Develop strategies to increase both the number of advertisers and the overall revenue generated through advertising.

● Provide regular revenue reports and updates.

● Ensure all advertising and sponsorships are appropriate for a Catholic school environment and consistent with RCCSS policies and values.

Business & Community Partnerships

● Build and maintain strong relationships with the Rapid City business community, developing mutually beneficial partnerships between RCCSS and local businesses.

● Identify businesses that may be interested in supporting Catholic education through advertising, sponsorships, or other financial partnerships.

● Attend community events, networking opportunities, business meetings, and RCCSS activities to cultivate relationships and identify new opportunities.

● Create opportunities for businesses to increase their visibility while supporting RCCSS students and programs.

● Maintain strong relationships with existing business partners and provide excellent customer service.

● Develop a systematic process for recognizing and retaining business sponsors.

Tax Credit Scholarship Coordination

● Serve as the primary RCCSS coordinator for the Tax Credit Scholarship program.

● Coordinate the administration of the scholarship program in collaboration with the Superintendent, Finance/Business Office, school administrators, scholarship granting organization, and appropriate outside organizations.

● Provide families with clear information regarding scholarship opportunities, eligibility, application requirements, and deadlines.

● Assist families in navigating the scholarship application process.

● Maintain accurate scholarship records and documentation.

● Protect the confidentiality of student and family information.

● Assist with identifying and reaching families who may benefit from available scholarship opportunities.

● Stay current on Tax Credit Scholarship requirements, regulations, deadlines, and procedures.

● Prepare reports and updates for RCCSS leadership and the Board as requested.

● Ensure scholarship processes are handled accurately, professionally, and in a timely manner.

Administrative Responsibilities

Invoicing & Payments

● Prepare and distribute invoices

● Track payments and outstanding balances

● Maintain accurate financial records

Record Keeping

● Maintain organized and up-to-date donor/sponsor records

● Track contributions, pledges, and sponsorship commitments

● Ensure documentation is accurate and accessible

Acknowledgements & Thank-Yous

● Send timely thank-you letters and acknowledgements

● Maintain consistent and personalized stewardship communications

General Responsibilities

● Represent RCCSS professionally and positively throughout the community.

● Maintain confidentiality regarding students, families, employees, donors, businesses, and organizational matters.

● Collaborate effectively with administrators, principals, faculty, staff, parents, donors, businesses, parishes, and community organizations.

● Maintain accurate records and meet established deadlines.

● Attend occasional evening and weekend events, networking opportunities, and RCCSS activities.

● Perform other duties as assigned by the Advancement Director.

Qualifications:

Required

● Bachelor's degree in business, marketing, sales, public relations, nonprofit management, or a related field; equivalent professional experience may be considered.

● Demonstrated ability to build relationships and generate revenue through sales, advertising, sponsorships, or business partnerships.

● Strong interpersonal and relationship-building skills.

● Excellent verbal and written communication skills.

● Ability to confidently make presentations, solicit businesses, negotiate agreements, and secure financial commitments.

Preferred

● Experience in advertising sales, fundraising, development, sponsorships, sales, or nonprofit advancement.

● Existing relationships within the Rapid City business and community environment or working with schools, nonprofits, or other mission-driven organizations.

Working Conditions:

● Full-Time (40 Hours Per Week) September through May, flexible schedule with a minimum of 20 hours per week June through August. This is a hybrid position, with much work completed outside of the office. Scheduled in-office administrative hours are required.
