Legal Secretary

Spherion Staffing is hiring a Legal Secretary for a premier law firm in Duluth, MN. Responsibilities Prepare, draft, and format correspondence, legal documents, and memoranda. Transcribe dictation accurately and profile documents using internal file management software. Maintain attorney and paralegal calendars, deadline reminder systems, and master office schedules. Prepare and assemble exhibits and materials for court appearances, meetings, and hearings. Perform file intake, open new client files, perform conflict-of-interest checks, and maintain paper/electronic filing systems. Manage incoming and outgoing mail, handle phone calls, answer routine inquiries, and greet clients. Enter attorney time, proof pre-bills, and assist with general office upkeep and reception relief. Skills & Qualifications High School Diploma or equivalent (additional legal, secretarial, or computer training preferred). 6 to 12 months of secretarial experience in a legal environment, OR equivalent combination of education and experience. Strong operating knowledge of MS Office (Word, Outlook, Excel), email, scanners, copiers, and transcription equipment. Excellent written/verbal communication skills with strong attention to legal grammar, spelling, and formatting. Basic arithmetic skills for verifying financial figures and time entries. High level of discretion, professionalism, and commitment to attorney-client confidentiality. Experience with legal document management systems (profiling by client/matter numbers). Familiarity with court filing processes, docketing, and legal timekeeping/billing software. Prior experience conducting legal conflict-of-interest checks.
