Client Services Collateral Administration and Account Reconciliation (ART) Supervisor

Role Overview The Collateral Administration and ART Supervisor is responsible for strategizing and leading the DTFS Title and ART Analysts to provide first‑class service to our small business, national, specialty equipment, fleet, and brand partners for the U.S. and Canada. This position will oversee the manual posting effort for an average daily $26 million in incoming receivables and ensure DTFS’s security interest is perfected in an average of 130,000 assets in Canada and the U.S. The supervisor will serve as the lead interface for on‑demand support of leadership in Accounting, Lockbox, Fleet Services, Fleet Workout, Lease Maturities, Loss Recovery, Resolutions, Funding, Sales, Titles, ALFA Operational Support Team, NASC, and DIAA. The supervisor will also interface with key dealer partners, title vendor Vitu CMS, and Lockbox/HSBC for bank transmissions. Responsibilities Provide comprehensive oversight to all title administration functions to guarantee security interests in all financed assets, including state‑to‑state transfers, duplicate title requests, title corrections, and releases. Implement risk mitigation strategies to prevent non‑perfection and ensure compliance with state/federal/provincial regulations, including workflow design, staffing, scheduling, and workload assignment. Identify opportunities for process improvement and collaborate with business partners to drive strategic changes. Process titles for repossessed assets promptly to reduce inventory duration and mitigate potential losses; renovate and continuously improve title/security interest/PPSA processing. Ensure proper diligence for all incoming refund cases and waiver requests and process payment applications, account terminations, refunds, reconciliation items, and payment gaps accurately and timely. Administer all aspects of personnel management: talent selection, training, communication of expectations, coaching, performance appraisal, and disciplinary actions. Collaborate with NASC and U.S. management to establish operational goals, use KPIs to monitor performance, and provide resolution guidance for escalated issues. Lead the team in delivering exceptional service to internal and external customers, manage daily operations, schedules, and performance objectives, and monitor work quality. Support RISE initiatives by transitioning processes to the NASC team and contribute to Title Insourcing evaluation. Qualifications High School Diploma or GED. At least 2 years of leadership experience. Strong decision‑making skills and ability to manage escalations and complex business problems. Excellent communication and interpersonal skills, conflict mediation, and collaboration with various teams and stakeholders. Ability to analyze data, interpret statistical information, and forecast outcomes. Location Charlotte, NC and Fort Mill, SC (U.S.). Relocation assistance not available.
