Dispatch Support Coordinator

- Ensure installation jobs are scheduled accurately by supporting the dispatch team with daily and upcoming scheduling needs.
- Maintain organized and accurate material documentation by uploading, managing, and verifying pick tickets for scheduled work.
- Review upcoming jobs and identify material shortages or discrepancies to support timely resolution and prevent delays.
- Maintain and update daily dispatch logs to ensure installers are assigned accurately for upcoming work.
- Ensure installer invoices are complete, accurate, and prepared for processing through printing, assembling, and verification.
- Maintain accurate job status updates within internal systems to reflect completed work and current job progress.
- Coordinate with installers to obtain updates on open items and support issue resolution when dispatchers are unavailable.
- Manage internal communication channels by coordinating updates between Dispatch, Sales, and other teams to ensure alignment and follow-through.
- Track and document job-site issues and installation concerns to support visibility and operational improvement.
- Support coordination between Dispatch, Sales, Warehouse, and Installation teams to ensure efficient job execution.
- Assist with administrative and operational tasks to support overall Dispatch department performance.
- Other duties as assigned.
- High school diploma or equivalent required.
- Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
- High attention to detail and accuracy in data entry and documentation.
- Proficiency in Microsoft Office applications, including Teams, Excel, and Outlook.
- Ability to communicate clearly and effectively with multiple departments.
- Ability to work in a fast-paced, operations-driven environment.
- Must be legally authorized to work in the United States.
- Experience in dispatch, scheduling support, or administrative coordination.
- Familiarity with SharePoint or similar document management systems.
- Experience with material coordination or pick ticket management.
- Background in construction, flooring installation, or service-related industries.

- Stationary Position: Ability to remain in a stationary position (sitting or standing) for up to 90% of the workday.
- Mobility: Frequently required to move throughout the office, warehouse, or job site to access materials, equipment, or files.
- Lifting/Carrying: Frequently lifts and/or moves items weighing up to 10 pounds.
- Manual Dexterity: Frequently operates a computer and other office equipment.
- Communication: Ability to effectively communicate and exchange accurate information with team members in a busy environment.
- Office/Design Center: Professional, climate-controlled office environment with moderate noise levels (e.g., computers, printers, and light foot traffic).
