Aloia, Roland, Lubell, PLLC is seeking an experienced Litigation Scheduler to join our Personal Injury department. This role is central to keeping our attorneys, paralegals, and clients on track through every stage of litigation. We're looking for someone detail-oriented, deadline-driven, and comfortable managing a high volume of moving parts in a fast-paced plaintiff's PI practice.

Prior litigation scheduling or legal calendaring experience is required. Familiarity with Florida law and local court rules is strongly preferred.

What You'll Do

• Schedule depositions, mediations, hearings, independent medical exams (IMEs), and trial dates, coordinating availability among attorneys, clients, experts, opposing counsel, and court staff
• Draft notices for attorney approval and efile
• Maintain the attorneys’ calendars and case management system, flagging scheduling conflicts and upcoming deadlines for the legal team
• Communicate proactively with attorneys and paralegals about approaching deadlines and scheduling changes
• Coordinate with courts, mediators, court reporters, and opposing counsel's offices to confirm and reschedule dates as needed
• Maintain accurate scheduling records and audit trails to support quality control and compliance

What We're Looking For

• Required: Prior experience as a litigation scheduler, legal calendaring clerk, or in a similar litigation support role
• Preferred: Working knowledge of Florida law, the Florida Rules of Civil Procedure, and local circuit/county court rules
• Strong organizational skills and the ability to manage a high volume of deadlines across multiple cases simultaneously
• Excellent attention to detail. Scheduling errors in litigation have real consequences
• Clear, professional communication skills, both written and verbal
• Comfort working with legal case management and e-filing systems
• Ability to work independently, prioritize competing deadlines, and meet tight timeframes
• Personal injury litigation experience is a plus
