The Salvation Army's Wisconsin and Upper Michigan Division is located in Wauwatosa, Wisconsin. The division is home to 26 Worship and Community Centers (Corps), 67 service extension units, a camp, as well as multiple homeless shelters, thrift stores and food pantries. Service extension units are branches of The Salvation Army in communities where Corps are not located but service is provided by committees of volunteers. The Employee Experience Specialist provides administrative support to the Human Resources Department and provides HR customer support to employees and supervisors in the WUM Division. Assists in creating and implementing engagement strategies that will enhance the employee experience, and promote a culture that embodies The Salvation Army's mission and values.

About the role:

• Performs general clerical duties for the Department including data entry, preparing correspondence, handling mail and other related duties. Creates and maintains electronic employee files and legal files in compliance with applicable corporate and legal requirements, ensuring accuracy of files.
• Performs customer service functions by responding to employee requests and questions, escalating as appropriate.
• Ensures entries in TSAMM are complete and ready for inclusion in the HR agenda for Divisional Finance Board review.
• Ensures a smooth recruitment process Initiates job postings and follows through with onboarding process. Serves as divisional HR contact for sponsored job slots. Tracks status of candidates in HRIS and responds with follow-up letters at the end of the recruiting process.
• Coordinates the Employee Referral program and ensures the process is followed and payouts are approved.
• Conducts background check process for all new hires. Prepares and sends adverse action letters as required. Ensures all references are checked (including Safe From Harm) and documented when new hire requests are submitted.
• Runs MVR checks and maintains current listing of approved drivers (employee and volunteer) by location. Verifies current driver status for annual updates with Chesterfield insurance. Works with the Property department to process driver approvals for DOT-covered vehicles; ensures pre-employment drug testing is done for DOT hires.
• Manages employee onboarding process and conducts orientations for DHQ.
• Conducts various employee surveys, such as employee engagement and stay interviews.
• Verifies I-9 documentation for DHQ new hires and ensures proper I-9 completion for all other locations.
• Initiates the criminal background check process on volunteers, prospective Board members, local officers, and Community Care Ministry applicants, using the Central Territory background check vendor. Notifies the Divisional Director of Volunteer Services of approval determination.
• Reconciles and prepares monthly background check billing from Wisconsin DOJ and submits to Finance for payment.
• Gathers all information and files for the Territorial Background Check Audit, and other audits as requested.
• Assists with various research projects and/or special projects.
• Coordinates activities for staff, including monthly meetings, annual employee appreciation activities and other employee engagement functions.
• Creates and distributes monthly/quarterly newsletters for Human Resources Department.
• Chairs the employee engagement committee.
• Maintains and communicates to employees, a calendar of events and special dates/observances.
• Schedules meetings and conferences, identifying and reserving appropriate spaces and facilities. Participates in the planning of the annual Divisional HR Conference.
• Ensures all employment posters on the employee bulletin board are current and accurate. Distributes updated posters to all units Division-wide.
• Collaborate with Social Services to ensure accurate tracking of training completed by WUM employees. Maintain current training and education credentials in HRIS.
• Assists supervisor with creating and revising job descriptions, as directed.
• Coordinates the annual United Way Campaign for DHQ and Milwaukee County employees.

Education: 2 years post-secondary training in related coursework.

Experience: 2 years experience in administrative support in human resources.

• Or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.

Certifications: Valid Wisconsin Driver's license with approval to drive from TSA's insurance carrier.

Full-time employees scheduled to work 30 or more hours per week will be eligible for full benefits, including health, dental, vision and hearing benefits, basic and voluntary life benefits, holiday pay and paid time off, which is pro-rated based on their regularly scheduled work week.

Non-Exempt Employees: Health, dental, vision, and hearing benefits, as well as basic and voluntary life benefits, will begin on the first day of the month following 90 days of employment. If the completion of a 90-day waiting period occurs on the first day of the calendar month, coverage will begin on that day.
