Overview & Highlights:
- Location: Cottonwood, AZ — a Verde Valley community in northern Arizona, minutes from Sedona and within easy reach of Flagstaff, with year-round hiking, biking, and river access
- Schedule: Monday–Friday, 8:00 AM–5:00 PM, full time
- Compensation: $55,000–$65,000 annually, plus a $500 monthly productivity bonus

Location & Logistics:
- Work Environment: A single, busy outpatient primary care clinic — you are on the floor with the team, not tucked away in a back office
- Department or Team: Clinic operations. You lead the Medical Assistants and front desk team on site and support the providers who work alongside them
- Patient-Facing Responsibilities: Yes — you are visible to patients, you keep the flow moving, and you are the person who steps in when a concern needs to be resolved
- Systems / EMR / Software: eClinicalWorks (eCW), plus staff scheduling and timekeeping tools
- Travel: None anticipated — this role is based at one clinic location
- Reporting Structure: Reports to operations leadership; partners daily with on-site providers and with supporting departments across the organization
About the Opportunity / A Day in the Life:
Your day starts before the first patient does. You look at the schedule, see where the pressure points are, check who is on the floor, and make the small adjustments that decide whether the clinic runs smoothly or runs late. A provider is double-booked at 10:00; a front desk seat needs covering; two new patients need their paperwork worked through before rooming. You solve those things in the first thirty minutes, and then you keep solving them.
Through the middle of the day you are moving between the front and the back. You are supporting Medical Assistants through eCW workflows, answering the question a newer team member does not want to guess at, and stepping in when a patient is upset about a wait, a bill, or a referral that did not go the way they expected. Those conversations are yours. You handle them calmly, you close the loop, and the patient leaves feeling heard.
The rest of the role is the longer arc: approving timecards, building the schedule, onboarding and training new hires, coaching the people who are ready for more, and keeping an eye on the numbers — patient satisfaction, productivity, and the operational metrics that show whether the clinic is actually performing. You also keep the unglamorous things handled: supplies stocked, equipment working, policies followed. When you do this well, the providers can focus on patients and the team knows exactly what is expected of them.

What We’re Looking For:
- A Medical Assistant background paired with real leadership experience — you understand the clinical side because you have worked it
- Someone who is comfortable supervising clinical and front office staff in the same breath, and who has done it before
- A calm, direct communicator who does not avoid the hard conversation, whether it is with a patient or a team member
- Strong organizational instincts — scheduling, timecards, and general HR responsibilities do not get away from you
- Comfort in an EMR, and the willingness to learn eCW quickly if it is new to you
- A leader by example, who is willing to room a patient or cover the front desk when the day demands it
Job Duties & Responsibilities:
- Oversee day-to-day clinic operations to ensure efficient patient flow and an exceptional patient experience
- Provide leadership, coaching, and day-to-day support to Medical Assistants, front desk staff, and other support team members
- Manage staff scheduling, timecards, performance, and general HR-related responsibilities
- Assist with onboarding and training new employees
- Ensure proper use of eClinicalWorks (eCW) and support the team through EMR workflows
- Maintain compliance with established policies, procedures, and quality standards
- Monitor operational metrics, patient satisfaction, productivity, and overall clinic performance
- Serve as the on-site point of contact for providers, patients, and supporting departments
- Address and resolve escalated patient concerns professionally and promptly
- Monitor inventory, supplies, and equipment so operations are never interrupted
- Support initiatives designed to improve efficiency, productivity, and overall performance
- Partner with providers and other departments to keep workflows aligned across the practice
Required Qualifications:
- Medical Assistant (MA) certificate or diploma
- Prior medical office management, healthcare administration, or clinic leadership experience
- High school diploma
- Working knowledge of primary care or outpatient workflows
- Strong communication, leadership, problem-solving, and organizational skills
- Ability to thrive in a fast-moving, patient-centered environment
- Availability to work on-site, full time, Monday–Friday, in Cottonwood, AZ
Preferred Background:
- Experience supervising clinical or administrative healthcare staff (strongly preferred)
- Familiarity with eClinicalWorks (eCW)
- Additional education in a healthcare or business field
- Hands-on experience with staff scheduling, timecard approval, and general HR responsibilities
- Experience monitoring operational metrics, patient satisfaction, or productivity
- Experience onboarding and training new clinic staff
