Workplace Experience Support Specialist

Overview The Workplace Experience Support Specialist manages daily office operations, including visitor management, safety, hospitality, reception, and facilities coordination in accordance with the workplace playbook and firm policies. Responsibilities Support daily office operations: visitor management, safety, hospitality, reception (answering multiline telephone systems), and facilities coordination. Provide best‑in‑class hospitality experiences for internal and external clients. Ensure the location is safe, well‑maintained, and clean; liaise with building management and vendors. Oversee maintenance of office equipment and supplies, including furniture, phones (excluding cellphones), security cards, and office supplies. Assist with office moves, remodels, and other intermediate to advanced projects or requests within ESS. Act as liaison to the office/market leader for all workplace experience support matters. Coordinate with building management to maintain building security information and related forms. Reconcile monthly parking and landlord services billing; audit service invoices. Request bids and coordinate maintenance for carpet, security system, air‑conditioning, plant service, furniture repairs, and equipment. Maintain vendor relationships, process payments, and track spending within budget. Prepare and reconcile employee log changes for new hires, transfers, and departures; manage onboarding and termination processes. Respond to ServiceNow requests and fulfill workplace experience support requests promptly. Provide support in mail services, print and copy, client file management, visitor management, and meeting/event coordination. Perform any other duties as assigned. Qualifications High school diploma or GED; associate degree or 2 years of related experience preferred. 0 to 3 years of experience in a related field. Strong communication skills with a diverse audience. Intermediate Microsoft Office skills; ability to learn firm applications and software. Basic knowledge of technology tools required for responsibilities. Effective organization, prioritization, and time‑management skills. Strong attention to detail, excellent people skills, and strong grammar and proofreading abilities. Ability to prepare presentations with charts, graphics, tables, speaker notes, and handouts. Intermediate knowledge of facilities management. Leadership skills: adaptability, positive response to change, and collaborative teamwork. Ability to lift up to 40lbs., stand for extended periods, and adapt to changing schedules. Preferred Requirements Prior experience in a professional office environment. Experience with building maintenance and vendor coordination. Experience with ServiceNow or similar ticketing systems. Benefits & Compensation Compensation Range: $46,100–$73,700.
