IEEE is an EEO/AAP Employer/Protected Veterans/Disabled We require all applications on line, if you require assistance contact .View email address on click.appcast.io Job Title Tech Community Program Specialist – Publications (E3535C) – 260125 Job Summary In this role, the incumbent establishes a strong liaison with all levels of volunteers within the Publications and other Robotics & Automation Society Boards and Committees as assigned, on all matters related to the operations of the Board and Committee's areas. The incumbent is the subject matter expert on IEEE and Robotics and Automation Society policy and process documents related to Publications and other Boards/Committees, develops new processes, and advises on policy interpretation. The incumbent will advise and provide direction on matters that arise within the volunteer structure pertaining to policy interpretation, develop and implement an assessment plan of area performance, provide recommendations, and deliver a communication plan that effectively explains the value of recommendations. The incumbent will also manage larger project initiatives, approve expenditures up to $5,000, and report to the Society Executive Director. Key Responsibilities Publications and Other Board/Committee Administrative Operations & Governance (50%) Handle meetings, agenda, minutes, and action items for designated committees and Boards. Provide high-level administrative support to the Executive Director, President, and Vice Presidents. Oversee administration of assigned Committee Meeting Programs, including review and cataloging of MOUs and contracts, meeting specifications and agendas, committee conference calls, follow‑up implementation of initiatives, and webinar and other activity coordination. Monitor Finance & Budget of assigned projects, reporting to Society Governance and Operations Manager and Executive Director. Provide and update budget worksheets for all RAS assigned Committees and Boards, consolidating the budgets into one file for review. Liaise with Corporate and Business management within IEEE OU’s for contracts and legal issues, risk (OFAC), Sister Societies, TA Management and other IEEE Councils as assigned by Executive Director. Program Management (25%) Conduct data analysis of programs, research new opportunities, and conduct market analysis related to assigned committees and recommend new initiatives and processes to increase efficiency and effectiveness. Develop and implement an assessment plan of area performance and identify drivers of high performing areas. Documentation and Communications (20%) Continuously improve the quality of IEEE governance documents as needed. Communicate with all Volunteers and Staff involved in assigned committees, boards and projects, and provide content for website and other communications channels. Develop and maintain content development and distribution, and information dissemination, informing volunteers of policy changes and supporting procedures. General Responsibilities (5%) Project and Program activity as directed/approved by Society Executive Director. Qualifications Education Bachelor's degree or equivalent experience in business strategy, global marketing, strategic management or a related discipline – Required. Master's or other advanced degree in a related field – Preferred. Work Experience 2‑4 years – Required. 2‑4 years experience with designing and executing large programs, particularly in leadership and professional development – Preferred. Experience in program and project analysis, program development and implementation, and communications planning – Required. Prior association experience – Preferred. Licenses and Certifications PMP, CMP, or CAE credential or working toward these – Preferred. Skills and Requirements Engaged with high performing teams, establishing and tracking metrics for achievement of team goals. Must be able to travel internationally and domestically. Strong project management skills with focus on execution and deliverables. Technology skill set: comfortable with current technology trends, internet research, web communications, Microsoft Office suite (PowerPoint and Excel). Familiarity with Projectmanager.com or other project tracking tools beneficial. Work independently, prioritize tasks, meet deadlines, interface with multiple stakeholders, and demonstrate flexibility and creativity in a dynamic work environment. Establish effective working relationships with high-level Robotics & Automation Society volunteers and other organizational units to coordinate efforts. Manage vendor relationships, negotiate and secure contracts with outside vendors, and ensure contractual obligations are fulfilled. Conceptual, creative thinker with strong business acumen, balancing strategic and operational decisions. Strong organizational skills and attention to detail. Resourceful and decisive in handling complex issues with no precedent.
