HVAC Sales Coordinator

Pay: $27.00 -$32.00 per hour

Work Hours: 7:30am -4:00pm, Monday-Friday

Location: onsite in Danvers

Overview:

The Sales Coordinator supports the Sales Team from initial customer inquiry through the transition to installation. This role manages sales scheduling, open estimate follow-up, technician-generated leads, financing and rebate assistance, timely sales documentation, and daily KPI reporting. This position works closely with the Sales Team, Service Department, Installation Coordinator, and management to improve conversion, accountability, and customer experience.

What You'll Be Doing:

• Confirm financing approvals and deposit information where applicable, customer expectations, scheduling considerations, and special installation requirements.
• Coordinate Technician-Generated Leads (TGLs) with Service Technicians and Dispatchers
• Monitor and report Sales Department KPIs daily using ServiceTitan and other applicable systems
• Provide accurate daily reports to the Sales Manager and Installation Manager and highlight trends, missed opportunities, and progress toward goals
• Manage Sales Team schedules; book, confirm, and reschedule customer appointments accurately and efficiently
• Coordinate sales opportunities from customer inquiries, Service Technicians, and other lead sources
• Monitor availability, prioritize urgent opportunities, and document appointments and customer details in ServiceTitan
• Monitor outstanding estimates and maintain a documented, consistent follow-up process
• Contact customers to answer questions, provide updates, and help advance decisions
• Verify signed agreements and proposals, deposit obtained, equipment selections, scope of work, job-site photos, and installation notes

What We're Looking For:

• Strong organizational, time-management, and follow-up skills with excellent attention to detail.
• Excellent written and verbal communication and customer-service skills.
• Experience in customer service, scheduling, sales support, or administrative coordination.
• Ability to work across departments and hold team members accountable for required documentation.
• Proficiency with ServiceTitan or a comparable CRM and Microsoft Office preferred.
• Comfortable preparing reports and working with sales metrics and data.
• Experience with financing, rebates, or the HVAC, plumbing, or home-services industry preferred
• Must be able to lift up to 30 pounds
