What You'll Be Doing

The Client Service Associate performs a variety of administrative functions in support of the Financial Advisor / Team and works to facilitate the smooth operation of the day-to-day activities.

What We're Looking For

• Compose and distribute meeting notes, routine correspondence, and reports.
• Maintain calendars; schedule appointments, meetings, and conference calls; prepare agendas and coordinate travel arrangements.
• Operate office equipment such as fax machines, copiers, and phone systems; use computers for spreadsheets, word processing, and database management.
• Prepare and process incoming and outgoing mail; draft responses to routine inquiries.
• Set up, organize, and maintain both paper and electronic filing systems for records, correspondence, and other materials, including off-site storage.
• Perform data entry for financial goal analysis reports, asset allocation summaries, and other client-related documents.
• Assist with the preparation and maintenance of client account documentation and records.
• Provide administrative support for client requests such as check processing, address changes, and document mailing.
• Answer phones, route calls, and provide general information to clients and internal staff.
• Support the FA(s) with internal reporting, marketing mailings, and other administrative tasks as needed.
• Identify and escalate issues or unusual activity to the appropriate party (FA or Branch Manager).

What You'll Bring

• Administrative Knowledge: Proficient in office procedures, document preparation, and file management.
• Communication Skills: Strong written and verbal communication with professional etiquette.
• Time Management: Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
• Technology Proficiency: Skilled in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); familiarity with office equipment and data entry tools.
• Customer Service: Friendly, responsive, and professional demeanor in client and team interactions.

Education & Experience

• Minimum Required: High School Diploma or equivalent
• Minimum Required: 2 years clerical/related industry

Licenses & Credentials

• Minimum Required: None

Systems & Technology

• Proficient in Microsoft Excel, Word, PowerPoint, Outlook
