Aquatic Coordinator

Adaptive Swim Instructor + Program Support  

Approximately 30 hours per week  

Swim Angelfish is looking for a reliable, motivated, and highly organized Aquatic Coordinator to join our team. 

This is an elevated Adaptive Swim Instructor role for someone who wants more consistency, more responsibility, and the opportunity to grow within Swim Angelfish. 

Aquatic Coordinators spend part of their week teaching adaptive swim lessons and part of their week supporting the administrative needs of their program. This role is ideal for someone who enjoys working directly with children and families but also likes organization, communication, problem-solving, and helping a program run smoothly behind the scenes. 

We are specifically looking for candidates who want a consistent, long-term role of approximately 30 hours per week.

Schedule Expectations  

Aquatic Coordinators are expected to work: 

• Approximately 30 hours per week  

• At least 3 consistent teaching shifts per week  (including a weekend day)

• At least 1 dedicated administrative shift per week  

• A reliable and consistent weekly schedule 

Adaptive Swim Instruction Responsibilities  

As an Aquatic Coordinator, you will continue to work directly with swimmers and families. 

Responsibilities include: 

• Providing individualized adaptive swim instruction to children with disabilities and diverse support needs 

• Using Swim Angelfish strategies and training to support each swimmer's success 

• Building positive relationships with swimmers, parents, and caregivers 

• Communicating clearly and professionally with families 

• Evaluating swimmer needs and adapting lessons appropriately 

• Following individualized lesson goals and treatment recommendations when applicable 

• Maintaining a safe and organized pool environment 

• Arriving on time, prepared, and ready to teach 

• Participating in ongoing training, mentorship, and feedback 

Administrative & Program Coordination Responsibilities  

Aquatic Coordinators also help manage the day-to-day communication and scheduling needs of their assigned program. 

Administrative responsibilities may include: 

• Pre-appointment communication with families 

• Post-appointment client follow-up 

• Responding to routine client questions 

• Supporting scheduling and schedule changes 

• Managing cancellations and available openings 

• Maintaining and updating program wait lists 

• Contacting families when appropriate openings become available 

• Helping match swimmers with available instructors and lesson times 

• Following up with prospective or wait-listed families 

• Filling out a daily report for Aquatic Manager

• Communicating schedule changes and important updates to instructors 

• Helping identify scheduling gaps or opportunities to improve program utilization 

• Escalating more complex client concerns to management when appropriate 

• Supporting administrative projects related to the assigned aquatic program 

Our Ideal Candidate  

Our strongest candidates typically have: 

• At least 1 year of swimming or aquatics experience  

• At least 1 year of experience working with children  

• Experience working with individuals with disabilities or special needs 

• Strong organizational and time-management skills 

• Excellent written and verbal communication 

• Comfort communicating with parents and caregivers by phone, email, and text 

• The ability to manage multiple priorities without losing track of details 

• A strong sense of ownership and follow-through 

• The ability to receive feedback and apply it 

• A willingness to learn new systems, processes, and adaptive strategies 

• Strong reliability and consistent attendance 

• The ability to work independently while remaining part of a larger team 

• An interest in growing within Swim Angelfish long-term

Physical Requirements  

Adaptive swim instruction is an active, hands-on position. Employees must be able to safely perform the essential functions of the role, with or without reasonable accommodation. 

This may include: 

• Entering and exiting the pool repeatedly 

• Standing and moving in the water for extended periods 

• Working in close proximity to children 

• Physically assisting swimmers when appropriate 

• Maintaining a safe and organized pool environment 

• Responding quickly when needed to support swimmer safety
