Scheduling Coordinator

POSITION SUMMARY STATEMENT:

To create schedules and other reports needed to staff the hospital on a 24-hour basis. Coordinates the staffing and information needs of the hospital while striving for enhanced staff satisfaction.

  • PC and data entry skills.

  • Ability to work independently and prioritize/manage a multitude of projects.

  • This position requires familiarity and compliance with matters of law, regulations and internal policies affecting the employment relationship, (including but not limited to HIPPA, FMLA, ADA, discrimination and harassment laws).

  • PC, Microsoft Word and Excel, pagers, multiple phone lines, staffing and scheduling system, epaging, the Learning Point.
    
    

PREFERRED QUALIFICATIONS:

• Education, Experience or Equivalent Combination:

  • Background in staffing/scheduling and/or customer service experience preferred.

• Licensure/ Registration/ Certification:

  • NA

• Knowledge, Skills, and Abilities:

  • Mathematical ability, problem solving skills, excellent communication and customer service skills, and organization desired.
    
    

ESSENTIAL DUTIES:

1. (35%) - Maintain Scheduling Software Data Bank:

   1. Enter and update employee information.

   2. Adjust posted schedules as changes occur.

   3. Maintain scheduling software.

2. (30%) – Create Reports:

   1. Produce daily staffing rosters.

   2. Keep holiday logs updated.

   3. Work with nurse managers to create four week schedules that balance the needs of the floor and the staff.

   4. Provide additional reports to nurse managers and supervisors as needed.

3. (20%) - Provide Customer Service:

   1. Answer general and specific questions, regarding reports, schedules and procedure, posed by staff and nurse managers.

   2. Be accessible by phone and in person: check mail boxes daily; respond in a timely manner.

4. (15%) – Contribute to Department Operation:

   1. Back-up support for the staffer.

   2. Cover other SSCs and staffers as needed.

   3. Be proactive meeting staffing needs: doing daily, weekly and monthly look-aheads; calling/paging as needed.

   4. Improve department process.
