Position Purpose

The Fleet & Technology Coordinator is responsible for day-to-day administrative readiness, tech infrastructure, and vehicle fleet availability. This role supports help desk (tier 1 and 2 services) and the vehicle-turn process (ensuring vehicles coming off the road are fully repaired, cleaned, equipped, inspected, and ready for driver assignment). The role bridges the gap between core IT & Help Desk and field operations; this position works closely with mechanics, strategy directors, and dispatch teams. The primary objective is simple: minimize technical and vehicle downtime, maximize road-ready fleet availability, and ensure secure, seamless data connectivity.

Key Responsibilities

Fleet Readiness & Vehicle Turns

• Vehicle Turn Ownership: Take complete ownership of vehicles returned by drivers or otherwise removed from service.
• Initial Assessments: Perform and document an initial assessment of each vehicle upon return.
• Status Tracking: Maintain an accurate, current status for every out-of-service vehicle, ensuring vehicles do not remain on the lot without a documented status and next action.
• Cleaning Coordination: Coordinate vehicle cleaning and final make-ready procedures.
• Final Readiness Inspection: Perform the final readiness inspection before releasing a vehicle for driver assignment, confirming that a vehicle is mechanically complete, clean, properly equipped, and technologically functional before marking it Ready for Driver .

Maintenance & Parts Coordination

• Mechanic Partnership: Work directly with the mechanic throughout the repair process to identify required repairs and help prioritize work based on operational needs and vehicle availability.
• Proactive Follow-ups: Follow up proactively with the mechanic rather than waiting for repair updates.
• Parts Procurement: Identify and order necessary vehicle and technology parts within established purchasing authority, tracking outstanding parts and anticipated delivery dates.
• Outside Facilities: Monitor vehicles at outside repair facilities and proactively request status updates.
• PM Compliance: Coordinate and track recurring preventive maintenance and vehicle inspections, maintaining accurate vehicle maintenance/inspection records in AutoAssist .

Fleet Technology Systems

• Internal Resource: Serve as the primary internal resource for vehicle tablets and Netradyne camera systems .
• Equipment Lifecycle: Install and remove tablets/cameras when vehicles enter or leave service.
• Configuration: Provision, configure, and troubleshoot all tablet and camera issues as necessary.
• Data Review: Review Netradyne offline-camera reporting to flag and resolve equipment issues, ensuring vehicles are fully operating with functional technology before they deploy.

Driver Services & Support

• Onboarding & Operations Support: Partner with the Operations department to help new and existing drivers join the program, supporting setup on required third-party transit applications.
• Driver Training: Coordinate and lead hands-on technical training for drivers covering driver tablets, PIM machines, and new technology developments.
• Issue Resolution: Follow up directly with drivers regarding customer or operational complaints tied to onboard technology hardware or mobile apps.

MDM Support

• Mobile Device Management (MDM): Manage enterprise data portals and security protocols using centralized MDM systems for data control and device compliance.
• Tier 1–2 Help Desk Support: Provide physical troubleshooting for PIMS.

Strategy & Cross-Departmental Collaboration

• Product Testing: Collaborate directly with tech development teams to test new software builds, isolate hardware/software bugs, and report findings.
• Strategic Innovation: Partner with the Director of Strategy on technology development concepts, innovation strategies, and program growth.
• Training Material Creation: Author clear instructional documentation and training guides alongside strategy leadership to ensure smooth rollouts for drivers.

Qualifications & Skills

• Experience: 1–2 years of related experience in help desk administration, fleet coordination, or an equivalent combination of education and hands-on training.
• Technical Proficiency: Experience configuring mobile hardware, navigating centralized MDM software, and utilizing fleet maintenance databases (AutoAssist preferred).
• Analytical Problem Solving: Strong ability to establish testing protocols, isolate causation, troubleshoot abstract tech bugs, collect data, and draw valid conclusions.
• Communication: Ability to effectively present technical updates to leadership and translate complex software configurations into simple training for drivers and operators.

Physical Demands & Work Environment

• Physical Mobility: Regularly required to walk, sit, stand, and use hands for precise hardware adjustments, tablet configurations, and physical cabling.
• Lifting Requirements: Must regularly lift and/or move technical equipment, tools, or vehicle parts weighing up to 50 pounds .
• Work Environment: This role splits time between an office setting and an active operations lot where the environment can be fast-paced, and noise levels can occasionally be loud.
