ES Service Claims Coordinator
Automation Personnel Services is looking for a hard-working ES Service Claims Coordinator for a company based in Huntsville, AL. In this role, you will primarily be responsible for managing and supporting customer parts orders and warranty claims through the Salesforce ticketing system and GSFS [Global Service Front System]. This position serves as a key liaison between customers and internal processing teams, ensuring accurate parts research and ordering, timely warranty claim submission and processing, and clear, centralized communication that supports prompt resolution.

The coordinator manages the end-to-end warranty claim process, proactively monitors email correspondence, and processes and maintains in-warranty parts orders. Regular training will be provided as needed to promote consistency, system knowledge, process compliance, and operational efficiency.

The role also requires timely escalation of pending or unresolved issues, regular communication with the supervisor and manager, and adherence to assigned schedules and team expectations to support overall performance, accuracy, and service quality.

Pay Rate
$19.00/hr.

Schedule and Hours
Monday through Friday, 8:00 am to 5:00 pm. (Subject to change based on company needs)

ES Service Claims Coordinator Duties and Responsibilities
1. Claims Processing

1. Utilize the Salesforce ticketing system to receive, review, and manage parts order requests and warranty claim information.
2. Verify that all required customer information and supporting documentation have been received and are complete.
3. Accurately enter and process warranty claims in accordance with established procedures and quality standards.
4. Monitor claim status and follow up on pending items to support timely resolution.

2. Parts Ordering – In-Warranty

1. Verify equipment warranty status before processing an in-warranty parts request.
2. Research and identify the appropriate part(s) required to support the repair.
3. Accurately enter and process parts orders for customers.
4. Maintain accurate records of parts orders and follow established processes for tracking and follow-up.

3. Systems & Technology

1. Efficiently utilize Salesforce, GSFS, GERP, Microsoft applications, and other required systems to complete daily responsibilities.
2. Use systems consistently and accurately while following established workflows and procedures.
3. Communicate technical, access, or system-use issues to the supervisor promptly and assist with resolution as needed.

4. Customer Communication

1. Provide clear, professional, and timely communication during every customer interaction.
2. Maintain a customer-focused approach while ensuring information provided is accurate and consistent.
3. Serve as a central communication point to help facilitate efficient resolution of customer requests.

5. Document Management

1. Manage and maintain all CAC account documents electronically on the designated shared drive or desktop.
2. Use consistent, easy-to-identify naming conventions when saving and organizing documents.
3. Maintain accurate and accessible electronic records in accordance with established document-management procedures.

6. Escalation, Communication & Schedule Adherence

1. Identify and escalate pending, complex, or unresolved issues in a timely manner.
2. Maintain regular communication with the supervisor and manager regarding workload, pending items, challenges, and operational concerns.
3. Adhere to assigned schedules, productivity expectations, and team procedures.
4. Participate in required and ongoing training to maintain process knowledge, consistency, and efficiency.

ES Service Claims Coordinator Qualifications and Requirements
1. Education: Bachelor’s degree in any field preferred; equivalent relevant experience may be considered.

2. Customer Service Experience: 2-3 years of customer service, customer support, claims support, or a related service environment preferred.

3. Microsoft Experience: 2 – 3 years of experience using Microsoft applications and business systems preferred.
