Assistant Facility Manager

Qualifications: Minimum of 3 years as an assistant manager or project manager Bachelor’s Degree 3-5 years of verifiable experience as an assistant manager with a span of control of 3 or more employees Ability to manage multiple projects Experience managing client and vendor relationships Experience managing budgets Ability to be on call should emergencies arise Must be able to lift up to 65 pounds Must be able to work on your feet for extended periods of time Assistant Facility Manager Duties and Responsibilities: Responsible for ensuring that inspections align with the contract between MVI and the RAC’s Responsible for overseeing the completion of all daily, weekly , quarterly, monthly, semi-annual and annual inspections as required by the facility and airport and ensuring that records are updated Ensure UST Compliance for the CONRAC Facility and the Remote Service Center where applicable; adhere to all federal, state and local regulations Evaluate and create solutions for potential operational problems Understand and perform document management functions in accordance with on-site policies and procedures Responsible for managing to the contract as set forth by the rental car companies (RAC’s) Responsible for managing inventory Responsible for overseeing all RFP’s and bids for the facility and providing analysis and feedback to the Executive Team and the rental car companies, when applicable Responsible for scheduling employees and submitting schedules as required Responsible for routine meetings and training with MVI staff to review progress, responsibilities and goals Communicate and provide information by relevant methods internally and externally to assist and enable organizational operational groups to achieve goals Interpret instructions and issues that arise and implement actions according to MVI policies and procedures Research and investigate information to enable strategic decision making for MVI CONRAC facility Participate in meetings, conferences, and project team activities Provide recommendations on Facility Management to CONRAC Director and Executive Team Organize, and update relevant data using database applications. (VAULT), Intacct, Nexonia. Submit all month end expense reports, timely, by the 3rd of each month, and accurately Responsible for managing and approval of all pass-through expenses and MVI expenses. Evaluate current processes and vendors to optimize cost savings Communicate and provide information by relevant methods internally and externally to assist and enable organizational operational groups to achieve goals Address issues that arise and implement decisions according to MVI policies and procedures Research and analyze information to enable strategic decision making Participate in meetings, conferences, and project team activities Provide recommendations on Facility Management to Facility Manager, CONRAC Director and Executive Team Policies and Procedures: Adhere to stated policies and procedures relating to health, safety, and management Adhere to procedures relating to the proper use and care of equipment and materials for which MVI has responsibility Evaluate and create solutions for potential operational problems, referring them to the CONRAC Director when deemed necessary Provide information to company employees and subcontractors to ensure project management standards Responsible for recruiting, interviewing, and hiring staff for the CONRAC as deemed necessary Responsible for training employees on policies, procedures, job responsibilities and processes Responsible for adhering to the Progressive Discipline policies as set forth in the Company Handbook Responsible for providing necessary information to other managers to ensure effective communication between team members Responsible for conducting annual performance reviews with all employees Accountable for fuel and fluids dispatch Ensure effective communication with transport drivers, through phone, text and email Responsible for making or overseeing fuel inventory and purchases; making sure that all paperwork is uploaded to the Software System Responsible for checking windshield washer fluid inventory and ordering as needed This position description does not list all the duties of the position.
