Job Posting Title Customer Service Representative III Agency 131 DEPARTMENT OF CORRECTIONS Supervisory Organization DOC JHCC Basic Information Location: Joseph Harp Correctional Center Full/Part-Time: Full time Job Type: Regular Compensation: $34,844.16 Responsibilities The position works in the mailroom and involves establishing contact with internal and external customers, providing requested information or assistance related to agency services, and directing requests to appropriate personnel. Key duties include operating telephone and communications equipment such as switchboards, consoles, and fax machines; issuing equipment, supplies, auto parts, and other materials; processing applications for licenses and permits; acting as a cashier; and serving as cashier in an institution, lodge, resort or other facility. Typical functions include supervising employees who provide services and information to all customers and training staff. Responsibilities also cover responding to requests for informational materials, researching and fulfilling requests, ensuring adequate inventory, preparing notice of statements, reconciling billing discrepancies, issuing reminder notices, maintaining inventory and records, purchasing materials, setting up displays, maintaining cleanliness, and selling merchandise. The employee receives customers or visitors, answers telephone calls, secures and provides requested information, and directs the request to the appropriate personnel. They also use advanced technological equipment to prepare mail and parcels, sort and distribute mail, operate scales and meters for postage, screen, examine, and verify documents for correctness, appropriateness, adequacy, and conformity, and follow up on requests or discrepancies. Level Descriptor This is a leadership level where employees perform duties at all levels of complexity and serve as first-level supervisors responsible for planning day-to-day operations of assigned staff. They develop or assist in developing operations, policies, and procedures. Knowledge, Skills, Abilities, and Competencies Required knowledge includes methods and procedures concerning public contact, telephone procedures, correct spelling, punctuation, and grammar, arithmetic, the program or services provided, laws and rules governing the program or services, training techniques, and supervisory principles and practices. Skills required include operating various office equipment such as computers. Abilities required include working with customers, gathering data and facts, keeping records, communicating effectively both orally and in writing, providing leadership on assigned projects or teams, and reviewing the work of others. Education and Experience The minimum requirements are one year of experience in sales, public contact work, handling and processing mail, or general office clerical work plus four additional years of experience in customer service, mail room operations, or technical clerical work; or an equivalent combination of education and experience. Special Requirements Some positions may require that applicants be willing and able to fulfill all job-related travel and perform moderately heavy lifting.
