About the Role

The Fort Wayne Housing Authority (FWHA) is seeking a dedicated, customer-focused Property Management Assistant to support the daily operations of our affordable housing communities. This position plays a key role in delivering quality housing services by providing administrative support, assisting residents, maintaining property records, coordinating leasing and recertification activities, and supporting overall property management operations.

The ideal candidate is organized, detail-oriented, and passionate about serving the community. This role requires strong customer service skills, administrative expertise, and the ability to work effectively in a fast-paced environment while maintaining confidentiality and compliance with housing regulations.

Key Responsibilities

• Provide administrative and operational support to Property Managers.
• Answer phones, assist walk-in visitors, and respond to resident inquiries and concerns.
• Maintain resident files, records, databases, and other documentation with a high level of accuracy and confidentiality.
• Assist with new resident orientations, leasing activities, and required housing documentation.
• Support annual recertification processes, including notifications, resident communications, and documentation management.
• Conduct apartment inspections as needed and perform routine property inspections.
• Create, monitor, open, and close maintenance work orders.
• Support rent collection and delinquency processes.
• Maintain office supplies and perform general office duties.
• Promote FWHA's mission and affordable housing programs through professional resident and community interactions.
• Perform other duties as assigned.

Required Qualifications

• High School Diploma or GED required.
• Minimum of two (2) years of experience in administrative support, customer service, property management, or a related field.
• Valid state-issued driver's license and ability to be insured under the Authority's insurance plan.
• Proficiency in Microsoft Word, Excel, and Outlook.
• Strong organizational, record keeping, and data-entry skills.
• Ability to perform basic mathematical calculations.
• Ability to learn property management and housing software systems.
• Ability to handle confidential information with professionalism and discretion.

Preferred Qualifications

• Associate degree in Business Administration, Public Administration, Property Management, or a related field.
• Experience in public housing, affordable housing, leasing, or property management.
• Knowledge of housing compliance requirements and recertification processes.

Certification Requirements

Successful candidates must obtain the following certifications within the first year of employment:

• Public Housing Rent Calculation Certification
• Public Housing Specialist Certification
