Accounts Receivable Accounting Specialist - Remote

## About the Role

We are seeking an experienced **Accounts Receivable / Accounting Specialist** to join a growing U.S.-based construction company. This is a remote position for an accounting professional who is highly organized, detail-oriented, and comfortable taking ownership of the complete Accounts Receivable process.

You will be responsible for managing customer billing from invoice preparation through collections and reconciliation. Because this role supports a construction business, you will also work with contracts, proposals, change orders, customer deposits, progress billing, and project documentation.

The ideal candidate has strong Accounts Receivable experience, excellent English communication skills, and the confidence to communicate directly with customers regarding invoices and outstanding balances.

## Key Responsibilities

* Manage the full Accounts Receivable cycle, including invoicing, collections, payment application, and account reconciliation.
* Prepare and issue accurate customer invoices based on contracts, proposals, project documentation, and completed work.
* Review contracts, proposals, change orders, and supporting documentation before preparing invoices.
* Handle construction-related billing, including progress billing, customer deposits, change orders, and final project billing.
* Monitor A/R Aging Reports and proactively follow up on past-due customer accounts.
* Communicate professionally with customers regarding outstanding balances and payment status.
* Research and resolve billing discrepancies, short payments, unapplied payments, credits, and other account issues.
* Apply customer payments accurately and maintain up-to-date account balances.
* Reconcile customer accounts and investigate discrepancies between invoices, payments, and accounting records.
* Maintain detailed records of collection efforts, customer communications, and payment commitments.
* Coordinate with project managers, operations, and accounting teams to resolve billing questions.
* Assist with job costing and ensure transactions are assigned to the appropriate projects.
* Maintain accurate and organized accounting documentation.

## Requirements

* Previous accounting experience with direct responsibility for **Accounts Receivable is required**.
* Strong understanding of the complete A/R process, including invoicing, collections, payment application, and reconciliation.
* Experience reviewing contracts, proposals, change orders, or project documentation for billing purposes.
* Experience with construction, contracting, or project-based accounting is strongly preferred.
* Experience with progress billing and job costing is preferred.
* Proficiency with **QuickBooks Online**.
* Strong Microsoft Excel skills.
* Experience with **Buildertrend** or similar construction management software is a plus.
* Excellent written and verbal English communication skills.
* Strong attention to detail and ability to identify and resolve accounting discrepancies.
* Strong organizational and follow-up skills.
* Ability to professionally and persistently follow up with customers regarding past-due balances.
* Ability to work independently and manage multiple accounts, invoices, and deadlines simultaneously.

**Schedule:** Monday–Friday, during established PST business hours

Candidates must have a reliable internet connection, a professional remote work environment, and the ability to remain consistently available and responsive throughout the scheduled workday.
