Sales Administrator

DataOne Systems

DataOne Systems is seeking a highly organized and detail-oriented Sales Administrator to support our growing sales organization. This role will work closely with Account Executives, leadership, operations, and customers to help manage the administrative and operational side of the sales process.

The ideal candidate is proactive, responsive, comfortable working in a fast-paced environment, and able to manage multiple priorities while maintaining accuracy and professionalism.

This position plays a key role in helping the sales team move opportunities from quote to delivery while ensuring internal systems, documentation, and communication remain organized and up to date.

Responsibilities

  • Support Account Executives and leadership with day-to-day sales administration tasks.
  • Prepare quotes, proposals, sales orders, and customer-facing documentation.
  • Maintain accurate records in CRM systems and internal tracking tools.
  • Assist with contract processing, purchase orders, and customer onboarding documentation.
  • Coordinate with operations, engineering, procurement, and finance teams to support project execution.
  • Track open opportunities, pending approvals, renewals, and project updates.
  • Help manage vendor pricing requests and equipment/service availability.
  • Assist with scheduling meetings, follow-ups, and customer communication.
  • Generate sales activity and pipeline reports for leadership.
  • Ensure documentation is complete and organized throughout the sales cycle.
  • Support service delivery coordination and project milestone tracking when needed.
  • Assist with special projects and process improvement initiatives.

Qualifications

  • 2+ years of administrative, sales support, customer service, or operations experience.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication skills.
  • Experience working in Microsoft Office Suite, especially Excel.
  • CRM experience preferred (Salesforce, HubSpot, NetSuite, or similar platforms).
  • Ability to prioritize tasks and work independently.
  • Detail-oriented with strong follow-through.
  • Professional demeanor and customer-focused mindset.

Preferred Experience

  • Experience supporting sales teams in telecommunications, structured cabling, data center, or technology environments.
  • Familiarity with telecom or IT infrastructure terminology.
  • Experience working with quotes, contracts, procurement, or project coordination.
  • Exposure to carrier services, cabling projects, or infrastructure deployments is a plus.
