Job Summary/Objective
The PRN Office Specialist provides administrative and operational support to the Therapy Services Department, primarily serving as coverage for the regular Office Specialist during absences and periods of increased workload. Responsibilities include scheduling appointments, patient registration, answering phones, managing communications, and supporting departmental workflow. This position may also assist with cleaning and sanitizing therapy equipment, organizing supplies, and completing miscellaneous support tasks to maintain a safe, efficient, and patient-centered therapy environment.
Essential Functions/Duties/Responsibilities
- Working knowledge of computerized medical software; ability to quickly learn new technologies and changes in electronic medical record (EMR) workflow.
- Serves as primary backup coverage for the Therapy Services Office Specialist.
- Greets patients, schedules appointments, registers patients, and manages written and electronic communications between therapists, physicians, patients, and other departments.
- Receives and responds to patient inquiries via telephone and other communication methods; answers phones, transfers calls, and takes messages.
- Accurately completes chart audits and daily billing reviews.
- Performs opening and closing procedures for patient charts.
- Provides requested documentation to insurance companies, physicians, and other authorized entities.
- Provides administrative and clerical support throughout the department as needed.
- Cleans and sanitizes therapy equipment, treatment areas, and commonly touched surfaces in accordance with departmental infection prevention standards.
- Assists with stocking, organizing, inventorying, and maintaining therapy supplies and materials.
- Assists with departmental projects, filing, scanning, data entry, and other support functions as assigned.
- Demonstrates professionalism by accepting responsibility and accountability for actions and interacting positively and effectively with physicians, therapists, staff, patients, and visitors.
- Maintains confidentiality regarding patient information and business operations.
- Follows all time and attendance policies and procedures.
- Demonstrates the ability to work independently in a fast-paced environment while effectively multitasking.
- Demonstrates sound judgment and the ability to initiate action during stressful or critical situations.
- Uses effective verbal, written, and interpersonal communication skills.

- Assists in identifying opportunities to improve workflow and patient service and communicates recommendations to supervisory staff.
- Follows all Harrison County Community Hospital District and departmental policies and procedures.
- Performs all other duties as assigned.
Education, Certificates, and Licenses
Education
- High school diploma or equivalent required.
- Additional coursework or training in office administration, healthcare administration, or a related field preferred.
Certificates/Licenses
- Certification in office administration, medical office administration, or related field preferred but not required.
Certifications
- None required.
Experience
- Previous clerical, customer service, or office support experience preferred.
- Experience in a healthcare, rehabilitation, or therapy setting preferred.
- Experience with scheduling systems, electronic medical records, and office procedures preferred.

- Proficiency with Microsoft Office applications and standard office equipment.

Physical Demands
- Ability to sit, stand, and walk for extended periods throughout the workday.
- Frequent use of computers, keyboards, telephones, and office equipment.
- Ability to bend, stoop, reach, and perform light cleaning activities.
- Ability to lift, carry, push, and pull up to 25 pounds occasionally.
- Ability to move therapy equipment and supplies as necessary.
