Outpatient Services Rep

$21.9 - $22.91 per hour

Summary Under the general supervision of, but according to established policies and procedures, the incumbent performs various administrative duties to expedite each patient's visit for clinical care. These duties include preparation of patient records; registration and pre-registration activities; problem resolution; appointment scheduling; and co-payment preparation and collection. In addition, ancillary duties performed provide tracking and status of follow-up care as it pertains to specific diagnostic coding, billing/payment resolution, and generation of system reports, which reflect scheduling activities. Responsibilities Schedules patients using the hospital’s scheduling system, establishing appointment type, provider clinic, and time. Schedules follow‑up appointments and appointments for lab work, diagnostic imaging, or referrals. Refers technical/clinical inquiries to appropriate personnel. Utilizes the billing system to enter diagnosis/service codes accurately. Completes pre‑registration and registration using the billing system. Verifies demographic data, insurance authorization, co‑pays, and physician. Collects co‑pays, provides receipts, produces registration cards, photocopies insurance cards, confirms eligibility with carriers, obtains visit authorizations, and provides quality customer service. Mails informational material to new patients ahead of appointments, contacts agencies to obtain pertinent information and coordinate programs, and contacts third‑party payors for pre‑authorizations per policy. Acts as an outpatient center receptionist: makes appointment reminder calls, answers/returns incoming calls, greets patients, verifies information, provides orientation of the center, and interacts effectively with patients and families. Handles coding/billing within department guidelines: enters diagnosis codes from encounter sheets, verifies codes, resolves billing denials with Patient Financial Services, and refers patients to patient advocate if needed. Obtains and organizes medical records for physicians and nurses. Ensures the file is complete before treatment, follows up with other departments for missing data. Prints reports using the scheduling and billing systems. Performs all duties in accordance with RIH’s mission and administrative policies. May respond to telephone inquiries by rotating into a centralized call room. Minimum Qualifications High School Diploma or equivalent. Demonstrated PC skills in Windows OS and associated software. Knowledge of medical billing routines for a physician office practice, medical terminology, diagnosis codes, and procedure codes. Courteous telephone technique and strong customer service skills. At least six months experience coding and billing using an online billing system. Work Environment and Physical Requirements Walking, sitting, standing throughout the day in a clinic setting. Independent Action Performs independently within department policies and practices; refers complex problems to supervisor for clarification.
