Scheduling Assistant

Job Description

Key Responsibilities

Schedule and confirm pickup and delivery appointments with shippers, receivers, and carriers in accordance with customer requirements and transit plans.
Proactively communicate appointment details, changes, delays, and special instructions to all relevant parties (carriers, account managers, operations, and customers).
Monitor shipment status and appointment compliance using the company’s Transportation Management System (TMS) and other tracking tools.
Resolve appointment conflicts, reschedule as needed, and escalate issues that impact on-time delivery or customer service levels.
Track and document detention, layover, and accessorial events related to appointments; support accurate billing and claims processes.
Maintain accurate and up-to-date records of appointments, contacts, facility requirements, and operating hours.
Collaborate closely with load planners, carrier sales, and account executives to optimize appointment windows and equipment utilization.
Provide excellent customer service by responding promptly to inquiries and maintaining professional communication via phone, email, and messaging platforms.
Identify and report recurring facility or process issues that affect appointment reliability.
Support continuous improvement initiatives related to appointment processes, data quality, and carrier performance.
