Job Summary:

The Coordinator Assistant serves as the primary point of contact for students seeking academic support, coordinates tutoring requests, assists with hiring and training processes, maintains operational systems, and helps ensure the Academic Success Center provides a welcoming, responsive, and well-organized experience for students, faculty, and staff. This is a temporary, part-time hourly position (up to 28 hours per week) supporting the Boulder County Campus Academic Success Center while the College recruits and onboards a permanent ASC Coordinator.

Part-time hours and schedule are somewhat variable per semester and cannot exceed 28 hours per week.

This position does have the opportunity to work remotely occasionally but does require a strong on-campus presence and may require occasional travel to all three FRCC campuses.

Duties & Responsibilities:

Intake and Outreach

• Under the supervision of the Academic Success Director and in collaboration with the Administrative Coordinator, organize and process tutor requests from students. Contact students to assess tutoring need, and scheduling with appropriate tutor.
• Refer student to other ASC and campus resources as necessary for support and cost saving efforts. Monitor, track, and communicate tutor requests and scheduling with ASC staff through Excel spreadsheet and Navigate (will train).
• Provide and track confirmation of sessions to tutors and students via Outlook and Navigate.
• Research, process and communicate student scheduling issues and withdrawals from the tutoring program.
• Assess incoming questions and concerns regarding all services in the center. Listen, de-escalate as needed, respond to understand, and refer to ASC program accordingly.
• Attend New Student Orientation meetings as needed/schedule allows to answer questions regarding services within the Academic Success Center.
• De-escalate low to medium emotionally charged student to decipher needs and concerns and effectively refer student to appropriate service. Refer medium to highly emotionally charged situations to supervisor.
• Serve as front line customer service, responding to student questions and concerns regarding Center services.
• Monitor front desk functioning and communicate student employee concerns or operational issues and questions to the ASC Administrative team. Mentor front desk student staff as assigned.
• Execute documents and presentations for remote use and accessibility.
• Conduct tours of the Academic Success Center for Financial Aid appeals – ending with assessing efficacy with student.

Engagement

Assist ASC Leadership in efforts to increase engagement by:

• Identifying internal channels of communication with students
• Providing written communication and visual materials to support the use of the services within the Academic Success Center.
• Creating a reference book of headshots and bios of all part-time support staff for students to see before requesting a tutor.
• Coordinating with the administrative assistants in updating and adding information to the ASC landing page.

Hiring and Training

• Assist ASC leadership and coordinators throughout the hiring process (application, interviewing, onboarding, etc.) of part-time ASC employees from review of applications.
• Assist ASC leadership and coordinators with weekly ongoing team meetings and trainings.

Data Management

• Assist with updating and maintaining digital files, particularly in keeping contact lists and SI class pairings up to date.
• Assist ASC leadership and/or coordinator with enrollment report review
• Audit bi-weekly payroll for all ASC part-time staff for accuracy
• Coordinate D2L requests from tutors: ensure completion of compliance agreement, submit access request.
• Audit and maintain accurate records in Navigate for all ASC services.
• Assist coordinator in running Navigate usage reports.

Clerical

• Complete clerical tasks as needed including reception, scanning, copying, maintaining office supplies, reporting facilities issues, and distributing materials around campus.

Special projects as needed

Minimum Qualifications:

• A Bachelor’s degree and demonstrated experience providing customer service, administrative support, or serving as the first point of contact for a department.

OR

• An associate degree and two years of demonstrated experience providing customer service, administrative support, or serving as the first point of contact for a department.

OR

• Four years of demonstrated experience providing customer service, administrative support, or serving as the first point of contact for a department.
