POSITION OVERVIEW
The Director, Facilities & Capital Projectsy Operations and Maintenance provides enterprise-level leadership and oversight for the physical condition, safety, reliability, and regulatory readiness of senior living communities. This position supports community and operational leaders in maintaining safe, secure, well-maintained environments for residents, families, team members, and visitors while promoting consistent facility standards across the organization.
The Director oversees and supports preventive maintenance, Life Safety, emergency preparedness, building systems and equipment, maintenance and housekeeping operations, regulatory surveys, plans of correction, vendor partnerships, and operating and capital projects. The role also partners with leadership on operating and capital budgets, purchasing and inventory practices, facility improvements, construction and renovation projects, and long-range facility planning.
SUPERVISORY RESPONSIBILITIES
- Provides functional leadership, education, accountability, mentorship, and performance support to community maintenance and housekeeping leaders. Direct supervisory responsibilities may include assigned facilities or maintenance team members based on organizational structure and business needs.
ESSENTIAL JOB FUNCTIONS
Facility Operations & Physical Plant
- Oversee physical property maintenance and support communities in maintaining safe, secure, functional, and well-maintained buildings, equipment, and grounds.
- Provide subject-matter expertise related to plumbing, electrical, HVAC, appliances, building equipment, grounds, and other physical plant systems.
- Investigate and support resolution of physical plant concerns, maintenance-related repairs, equipment failures, building modifications, and facility upgrades.
- Support the day-to-day effectiveness of maintenance and housekeeping operations, including development, implementation, and standardization of policies, procedures, and standard operating practices.
- Implement and monitor effective use of organizational resources and recommend corrective or preventive measures to reduce operational, safety, property, and financial risk.
Life Safety, Emergency Preparedness & Regulatory Compliance
- Provide oversight and auditing of Life Safety, OSHA and workplace safety practices, preventive maintenance programs, emergency preparedness plans, and required facility documentation.
- Support community compliance with applicable federal, state, and local facility, licensure, Life Safety, and building requirements in partnership with operational and clinical leadership.
- Oversee and support preparation for surveys and inspections conducted by authorized government agencies and other regulatory bodies.
- Partner with community leaders to develop, implement, and monitor plans of correction related to maintenance, housekeeping, Life Safety, or physical plant deficiencies identified through surveys, inspections, or internal audits.
- Work with leaders to support completion and documentation of applicable federal, state and organization-required safety and emergency preparedness training.
- Ensure facility-related concerns and feedback from residents and families are addressed promptly and appropriately.
Capital Projects, Construction & Facility Planning
- Support operating expense (OpEx) and capital expenditure (CapEx) planning, prioritization, budgeting, and project execution.
- Provide professional oversight and coordination for the design, development, construction, renovation, alteration, and installation of facilities, buildings, systems, and equipment.
- Coordinate with internal partners, consultants, contractors, and vendors to review facility designs, proposed changes to existing facilities, equipment specifications, substitutions, and project requirements.
- Identify facility needs and contribute to long-range strategic plans that support organizational priorities, community operations, resident experience, and brand standards.
- Monitor project scope, timelines, quality, cost, and operational impact; escalate material risks, delays, or budget concerns to leadership.
Budget, Purchasing & Vendor Management
- Partner with leadership teams in developing and managing facility-related operating and capital budgets and support operations within established budgetary parameters.
- Develop and monitor purchasing and inventory-control practices for maintenance supplies, equipment, and related facility needs.
- Develop strategic vendor partnerships and opportunities for standardization across the organization to improve quality, consistency, efficiency, service, and value.
- Participate in vendor selection, estimates, proposals, contract coordination, performance review, and issue resolution as appropriate.
Leadership, Community Support & Accountability
- Provide leadership, education, accountability, and mentorship to maintenance directors, housekeeping leaders, and other community team members responsible for facility operations.
- Partner with Executive Directors and regional leadership to strengthen facility performance, operational consistency, team effectiveness, and accountability.
- Lead or facilitate recurring facilities and maintenance meetings, planning discussions, education, and performance reviews to drive positive outcomes and share best practices.
- Support communities experiencing facility leadership vacancies, urgent physical plant needs, significant projects, regulatory concerns, or other operational challenges, including temporary onsite support when necessary.
- Communicate significant facility risks, regulatory concerns, project barriers, and resource needs promptly to appropriate leadership.
- Perform other related duties as assigned.
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- Bachelor?s degree in facilities management, architecture, engineering, construction management, business, or a related field preferred; an equivalent combination of education and relevant experience may be considered.
- Ten (10) or more years of progressive experience in facilities, building operations, equipment, maintenance, construction, or a related field, including multi-site leadership or oversight experience.
- Experience overseeing capital projects, vendors, contractors, budgets, and personnel.
- Experience in senior living, healthcare, hospitality, multifamily housing, or another highly regulated multi-site environment strongly preferred.
- Valid driver?s license and acceptable driving record; ability to meet Company driving requirements when operating a vehicle for business purposes.
KNOWLEDGE, SKILLS & ABILITIES
- Strong knowledge of facilities management and administration, preventive maintenance, building systems, Life Safety, emergency preparedness, and workplace safety practices.
- Working knowledge of applicable regulatory, licensing, building, fire and Life Safety requirements and the ability to interpret requirements across multiple jurisdictions with appropriate internal or external support.
- Strong business and financial acumen, including operating and capital budgeting, cost containment, vendor management, project prioritization, and resource planning.
- Ability to evaluate facility conditions, identify risk, determine priorities, develop practical solutions, and drive timely corrective action.
- Excellent project-management, analytical, organizational, and problem-solving skills with the ability to manage multiple priorities across geographically dispersed communities.
- Excellent written, verbal, and interpersonal communication skills with the ability to influence, educate, mentor, and build effective partnerships at all levels of the organization.
- Ability to respond calmly and effectively to urgent facility issues, emergencies, regulatory matters, and changing operational priorities.

TRAVEL & WORKING CONDITIONS
- Travel up to approximately 50% may be required to support communities, projects, surveys, meetings, emergencies, and organizational initiatives.
- Ability and willingness to provide temporary support for vacant community maintenance leadership positions when business needs require.
- Ability and willingness to work outside normal business hours, including evenings or weekends, when necessary to respond to emergencies, urgent facility needs, projects, or operational priorities.
- Work is performed in office, community, mechanical, construction, and outdoor environments and may involve exposure to noise, dust, weather conditions, mechanical equipment, and other conditions customary to facility operations.
- Ability to sit, stand, walk, bend, reach, climb stairs, and access areas of a community reasonably necessary to inspect facilities and oversee work. The position may require occasional lifting, carrying, pushing, or moving of materials or equipment consistent with the essential functions of the role.
