Equity Administrator Role – Siebert

The Equity Administrator is an operational role within Siebert’s Equity Compensation Services team, responsible for executing core stock plan administration functions and supporting corporate clients across equity platforms. This role focuses on the accurate processing of equity transactions, maintaining data integrity, and delivering high-quality service to clients.

Equity Administrators play a key role in ensuring seamless administration of equity plans, partnering with internal teams and clients to resolve issues, answer inquiries, and support the full lifecycle of equity compensation events. This position provides a strong foundation for career growth within the equity compensation and financial services industry.

Equity Administrator Responsibilities

• Execute daily stock plan administration activities, including processing equity transactions, trade settlements, and pre-clearance requests 
• Review and resolve data discrepancies, import errors, and reconciliation issues to ensure data accuracy across systems 
• Administer equity events such as Restricted Stock Unit (RSU) releases, stock option exercises, and Employee Stock Purchase Plan (ESPP) purchases 
• Perform monthly and periodic reconciliations, including share and cash balancing activities 
• Maintain and update participant data, grant records, and plan details in accordance with client instructions 
• Manage ESPP enrollments, online grant acceptance processes, and equity plan reporting requirements 
• Identify operational risks, errors, or inconsistencies and collaborate with internal stakeholders to implement solutions and drive resolution 
• Document and maintain detailed client procedures, workflows, and internal controls 
• Monitor and manage case queues using systems such as Salesforce or similar tools; ensure timely case resolution and accurate documentation 
• Respond to client and participant inquiries with a focus on accuracy, timeliness, and service excellence, meeting defined service level agreements (SLAs) 
• Research and resolve complex equity plan issues, leveraging system knowledge and internal resources 
• Troubleshoot platform-related questions through effective problem-solving and client communication 
• Participate in system testing, validation, and process improvement initiatives; identify defects and recommend enhancements 
• Support continuous improvement efforts to enhance operational efficiency and client experience 
• Perform additional duties as assigned to support team and organizational objectives 

Qualifications

• Bachelor’s degree preferred in Finance, Accounting, Business, or a related field 
• 1–5 years of experience in equity compensation, financial services operations, or client service roles 
• CEP (Certified Equity Professional) certification is a plus, but not required 
• Strong attention to detail with a high degree of accuracy in data processing and reconciliation 
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment 
• Analytical mindset with strong problem-solving capabilities 
• Demonstrated ability to follow processes, maintain controls, and ensure compliance 
• Effective communication skills with a client-focused approach 
• Strong organizational and time management skills, with sound judgment on issue escalation 
• Proficiency with standard business tools including Excel, Word, and case management systems 
• Ability to work both independently and collaboratively within a team environment

Department: Equity Compensation Services About the Role Siebert is seeking a detail-oriented Equity Administrator to join our Equity Compensation Services team. In this operational role, you will play a critical part in delivering accurate, high-quality stock plan administration for our corporate clients. You will manage the day-to-day processing of equity transactions, maintain data integrity, and provide exceptional support throughout the full lifecycle of equity compensation events. Key Responsibilities

• Process daily equity transactions, including trade settlements, pre-clearance requests, RSU releases, stock option exercises, and ESPP purchases 
• Administer Employee Stock Purchase Plans (ESPP), including enrollments and purchase processing 
• Review and resolve data discrepancies, import errors, and reconciliation issues to ensure accuracy across all systems 
• Perform monthly and periodic reconciliations, including share and cash balancing 
• Maintain participant records, grant data, and plan details in line with client instructions 
• Manage case queues (Salesforce or similar), respond to client and participant inquiries, and meet or exceed service level agreements (SLAs) 
• Research and resolve complex equity plan issues, escalating when necessary with clear documentation 
• Document and maintain client-specific procedures, workflows, and internal controls 
• Identify operational risks and collaborate with internal teams to implement solutions and process improvements 
• Participate in system testing, user acceptance testing, and continuous improvement initiatives 
• Support additional team and company objectives as needed

Qualifications

• Bachelor’s degree preferred (Finance, Accounting, Business, or related field) 
• 1–5 years of experience in equity compensation administration, financial services operations, or client service 
• CEP (Certified Equity Professional) designation is a strong plus 
• High attention to detail with proven accuracy in data processing and reconciliation 
• Strong analytical and problem-solving skills 
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment 
• Excellent written and verbal communication skills with a client-first mindset 
• Proficient in Microsoft Excel (intermediate to advanced), Word, and case management systems 
• Experience with equity compensation platforms is highly desirable 
• Strong organizational skills, sound judgment, and comfort escalating issues appropriately 
• Ability to work both independently and collaboratively in a team setting 
• Positive, proactive attitude with a commitment to continuous learning 
• Fluency in written and spoken English required
